The Payment/Data Administrator works in a team environment and is responsible for the operational tasks associated with servicing payment and data administration needs for defined benefit pension plans, maintaining compliance with the plan’s provisions and administrative policies.  This includes, but is not limited to, loading participant data, reconciling benefit payments, establishing payment records, communicating payee information changes, and handling retiree checks.

Responsibilities

Processing participant data updates and client payroll files

Maintain and update payment administration procedures

Review pension election forms and supporting documentation

Prepare written communications for participants regarding payment issues

Research participant records for internal and external requests related to payments

Review and provide fulfillment of participant communications regarding payments

Input payment information into Company’s pension system (and other systems when applicable)

Maintain signature authority forms for each trustee and administer changes as needed

Transmit information to Trustee for payment initiation and payment changes

Communicate with Trustee regarding stop payments and check reinstatements

Complete reconciliation of pension payments with Trustees

Provide support resolving issues identified by death audits

Monitor progress of daily tasks

Ensure final work products are of high quality and provided in a timely fashion

Provide support for special projects and other tasks as needed

Identify, analyze, and assist in implementing process improvements

Assist with training of new employees as needed

Take an active role in pursuing continued education

Required Experience and Skills

Strong verbal and written communication skills, with an emphasis on customer service

Ability to balance and prioritize multiple projects

Position Description:

Our client is looking for a superintendent with experience on large commercial projects (greater than $10 million).  The Project Superintendent is responsible for the mechanical, electrical and plumbing field activities on the project.  The role reports to the Senior Superintendent and is on-site full time.

JOB RESPONSIBILITES:

Provide full time day-to-day supervision on site, coordinating all work of subcontractor’s and the clients own forces

Creates and monitors the project CPM schedule and uses the schedule as a tool to manage the project.  Determines the sequencing of work actives and manages subcontractors to follow the sequence.

Monitors trade work to ensure it meets the requirements of the drawings and specs

Manages the jobsite safety program, including safety walk-thrus, and makes field crews accountable for adherence to the safety program.

Conduct weekly coordination meetings with subcontractors

Manage subcontractors to ensure that the full scope of work is completed per their contract

Understand the project budget and ensure accurate cost coding and management of labor and material costs

Maintain daily log of project activities.

Close-out project punchlist, finalization of subcontract values, assist in the negotiation of final owner change orders, building commissioning, etc.

JOB REQUIREMENTS:

A minimum of 10 years of total experience, with at least 5 as a Superintendent, having managed at least one project that was greater than $10 million

Experience should be in large commercial construction in a union environment; preferably on negotiated projects

Experience managing a large retail project of $10 million or more is preferred

Basic computer skills are necessary (Windows, Excel, SureTrak, Word, etc.)

Description

Assists in the design of centrifugal pumps, components, and equipment.  Prepares complex design studies, calculations, drawings, Bills of Materials, and other engineering documents in accordance with customer requirements and department policies and procedures.

ESSENTIAL FUNCTIONS:

• Prepares engineering drawings using CAD, Bills of Materials and engineering specifications to enable the

complete manufacturing of pump products.

• Reviews FOP’s, customer orders, and specifications.

• Participates in administrative functions of the department, including order and design review meetings.

• Provides support to Tendering, Contracts, and Manufacturing as required.

Summary:

Responsible for overall staff technical assistance with computer related problems (hardware, software and printers) for staff and assist in the daily operations of all server based systems including Campaign and Customer Relationship Management (CRM), Finance Accounting and Imaging, and Exchange.  Assist with developing script for special SQL Data Queries for staff from all areas of the organization.  Assist with network server maintenance and Disaster Recovery data backup.

KEY RESPONSIBILITIES

Assist with performing the following critical functions and/or services:

  • User support and Help Desk
    • Manage desktop and laptop repair with IBM SERV
    • Manage all printer repair and toner replenishment
    • Client installation of all software
    • Responsible for IT/Systems Orientation for new staff
  • Enterprise Campaign Management System
    • Assist with maintaining the CRM server
    • Interface with staff from all departments to gather and document requirements for report modification and creation.

Finance Accounting System – MAS500

  • Assist with MAS500 major upgrades, and database maintenance, including creating new users in the MAS500 SQL database.
  • Responsible for the installation of the FRX DrillDown viewer software .

  • Finance Imaging System – LaserFiche
    • Assist with maintenance and management of the LaserFiche scanning software and the Canon 5020 and CR180 imaging hardware.
  • Assist with maintenance of the SQL Servers that house the MAS500, LaserFiche and Enterprise databases. (backups, archiving, software/hardware upgrades)

  • Disaster Recovery
    • Assist with maintenance and management of the Veritas Backup Exec 10.0 Tape Backup System, including upgrades and maintenance.
    • Assist with updates to the Disaster Recovery manuals for MAS500, LaserFiche, Enterprise, all Enterprise web modules and Exchange.
    • Responsible for managing and checking daily disaster recovery data back up tapes onsite or via Virtual Private Network access.
  • Web site maintenance
    • Work with appropriate staff to understand the needs related to web technology development
    • Assist with creation of development and implementation timelines for web development projects
    • Work with appropriate staff responsible for content creation, proofing, and approving web content
    • Design customized graphics and animations
    • Code and maintain appropriate portions of the site-using HTML, CSS and JavaScript
    • Perform testing and quality control checks on the links and coding structures of all UWMD web sites

  • Determine appropriate content requirements to meet client’s needs and work with appropriate staff or volunteers to gather the content according to required timeline
  • Assist with configuration of United eWay web sites
  • Perform testing and quality control checks before launching campaigns

Job Requirements

Education: Undergraduate Degree or equivalent experience required

Experience: One to two year of related work experience in a corporate information technology department required.

SKILLS:

Position Description:

Participate in the authorization for expenditure (AFE) process.  Activities include such things as receiving a request from engineering or operations for a new AFE, documenting the request in the appropriate systems, working with finance to determine budget status of the request, routing the request to receive required approvals, setting up unique fixed-asset system identifiers so that appropriate charges can be accumulated and identified as part of the AFE, depreciated, etc.

Develop and maintain and improve fixed asset sub ledger; prepare internal fixed asset reports, monthly PP&E roll-forwards and account reconciliations, investigate and resolve general ledger/sub-ledger anomalies

Monitor project costs for asset construction to inform management and accounting/finance peers of project status as compared to budget

Create and maintain fixed asset process to ensure proper control of inventories and fixed assets

Participate in periodic physical inventory counts/verifications; prepare documentation to adjust booked balances to verified balances

Work with engineering/operations to develop monthly accounting accruals for capital (fixed asset) expenditures and operating expenditures

Prepare and post monthly depreciation for all fixed assets

Propose, prepare and upload monthly journal entries related to work in progress and fixed assets

Participate in periodic operations/engineering meetings to ensure that accounting/finance is appropriately booking transactions and planning for upcoming expenditures.  Develop rapport with operations/engineering staff so that you become the finance/accounting source for variance explanations, etc.

Work with accounts payable department to ensure proper general and sub ledger coding of capital and operational expenditures

Provide support to internal and external auditors examining fixed assets and the fixed asset/capital expenditure process

Work with other areas of accounting (as well as finance, engineering and operations) to ensure appropriate use of systems and information

Develop, implement and communicate process improvements made through process optimization and adaptation of technology.

Participate in ad hoc / special projects as required

Participate with the finance/accounting team to ensure fulfillment of team objectives.

Experience Needed:

Bachelor’s Degree – Accounting; CPA or CMA desirable

Skilled at understanding basic GAAP especially as related to fixed asset/capital project accounting.

3+ years experience with an emphasis on cost / fixed-asset/ capital project accounting.

Oil, natural gas, or energy industry experience desirable.

Familiarity with the Microsoft Office suite of products.  Intermediate/Advanced MS Excel skills essential.

Strong teamwork skills

Strong analytical and presentation skills (must be able to summarize information for upper management review).

Ability to interact calmly and confidently with peers and a diverse group of engineering and operations colleagues.

Self-motivated individual with ability to function in a fast-paced environment with limited supervision and direction.
