Responsibilities:

  • To minimize investment in accounts receivable by maximizing cash receipts and following up on credit memo processing.
  • To increase internal personnel’s awareness of the importance of credit as an integral part of every transaction, and encouraging communication between operating personnel and their customers.
  • To maintain customer  goodwill and to encourage customer financial stability in order to increase profit and sales.
  • Notify customers of past due invoice and encourage faster payment turnover for all invoices. Detail: 500 to 750 Active Accounts, Accounts Receivable approx.–$5M.
  • Assist Branch Locations resolution of credit memo processing resulting from return material, pricing errors, defective products, etc.
  • Discuss delinquent accounts with sales and management personnel. Details:–Recommend appropriate payment terms for future orders.–Inform personnel of collection efforts which become futile, and which need to be forwarded for collection and/or lawsuit.
  • Develop a working knowledge of customer relationships.
  • Establish a framework for maintaining credit in a variety of sale situations, involving a diverse product line and a wide array of customer classifications.
  • Prepare and analyze monthly status reports on A/R accounts, including listings of accounts with invoices over 60 days old, for review by the credit manager, company presidents, and sales personnel.
  • Answer inquiries for credit references with past, factual experience.
  • Authority to approve new accounts up to $100,000.
  • Authority to hold any shipments to delinquent accounts.
  • Process charge card sales.
  • Analyze sales order entered reports by auditing terms, limits, hold codes, and need for job information.
  • Send prelien notices, bond claims, and lien filings within time frames dictated by each job-location state.
  • Responsible for organizing dispute meetings for disputed balances on accounts.

Qualifications:

Our Oil & Gas client in The Woodlands, TX area client is seeking a Contract Paralegal.  This assignment will last about 3+ months.INTERESTED? CLICK HERE TO APPLY!

The ideal candidate will have experience in handling a diverse range of administrative and executive support related tasks in the Oil & Gas Industry.  This person must be able to work with little or no direct supervision.  Exceptional organizational skills, flexibility, and a high degree of confidentiality are mandatory.  This person must interact effectively with executive board members in a very fast paced setting.

Duties:
- Handle various requests for information relating to corporate documents, contracts, vessel charter agreements, litigation matters;

- Assist with preparation of closing documents relating to sale of vessels;

- Maintain Litigation Log;

- Maintain Corporate Compliance Calendar;

- Distribute and organize various transactional documents and certificates for signature;

- Maintain electronic folders containing SEC reports, contracts, vessel certifications, corporate governance materials, due diligence;

- Assist with preparation of corporate governance policies;

- Coordinate consularization of documents to be used in the conduct of Companies business in foreign countries; and

- Assist with preparation vessel purchase and sale agreements using web-based forms (BIMCO).

Requirements and Additional Qualifications:

- 3+ years of executive level support.

- Bachelors degree highly preferred.

- Oil and Gas experience is highly preferred.  Experience supporting General Counsel is highly required.

- Strong knowledge of all MS Office Suite products (Word, PowerPoint, Excel, Outlook).

- Excellent calendar management skills, including the coordination of complex executive meetings.

- Proficiency in preparing high quality presentations.

- The ability to conduct basic analysis and ongoing research independently.

- Strong proven project management history.

- Professional demeanor and superior communication skills.
