Our Nashville client is looking for a Human Resources Administrative Assistant/Coordinator to join their team on a long term contract assignment.

PRIMARY DUTIES:
1. Apply knowledge of company policies and procedures to employment procedures for initial hires, title changes, merits, promotions, transfers, terminations, etc.
2. Assist in the administration of compensation and benefits programs
3. Update and maintain HR database personnel records including vacation and sick leave
4. Input data from internal forms to ensure that the salary rate, benefit, merit, funding and status change are reflected correctly in the database.
5. Assist with weekly payroll administration (data entry)
6. Assist in hiring process by posting/advertising positions, collecting applications, setting up interviews and working with supervisors to hire new employees
7. Serve as back up Receptionist
8. Coordinate employee recognition programs
9. Plan special events (holiday breakfast, birthday lunch, etc.)
10. Support the President with various other HR related tasks

REQUIRED SKILLS/KNOWLEDGE:
1. Four year degree preferred, not required
2. Oral, electronic and written communication skills
3. Ability to meet deadlines, be punctual and demonstrate flexibility
4. Strong organizational and administrative ability
5. Ability to work independently
6. Very high degree of interpersonal skills
7. Knowledge of basic HR forms (W-4, I-9, etc.)

Duties:

Our Nashville (Green Hills) client is looking for Building Maintenance Professional to join their team on a direct hire, part time basis (20 hours a week)

This position is a very important representative of the company.  This person must be polite and courteous to the tenants and their customers.

The following are the requirements of this position :
1. Be able to perform maintenance request and repairs.
2. Be a self motivator.
3. Be able to plan ahead and use time wisely.
4. Be observant of security and liability issues on a daily basis.
5. Communicate to the building manager making him aware of potential problems, ideas and suggestions.
6. Be productive.
7. Be able to perform a variety of tasks including the following:  electrical, plumbing repairs, painting, minor building repairs, groundskeeper, and sweeping, maintaining the curb appeal of the parking lot, sidewalks, stairwells and covered parking.
8.A set of priorities shall be established for the maintenance professional on a daily, weekly and monthly basis.  Depending on the season and weather, they will be revised.  Upon completion of the daily priorities and maintenance requests, maintenance person will find other work on his own without being given direction or guidance from the building manager.  There are always things to do.
9. Know in advance how to plan your day.  Plan your maintenance work orders.
10. Security and possible liabilities are a priority.  Always be observant to be sure all stairwells, parking garage, exterior lighting and pole lights are working.  Replace lights immediately.  If you observe that a pole light is out, report it to the building manager.  Liabilities are always a concern.

The responsibility of the maintenance position includes the repair and duties of the following :
A. Plumbing – be able to repair leaks to plumbing fixtures; unclogging of stopped up toilets and sinks.
B. Electrical – replace and or repair plugs and switches; replace bulbs and ballast.
C. Painting
D. Ground Maintenance – keep grounds, parking lot and landscape areas clear of trash; keep plant beds free of weeds; water grass and shrubs; spray shrubs and trees when they are infested with insects or disease.
E. General Maintenance – replace ceiling tiles; change out door locks; replace air filters; apply de-icer chemicals during the winter; sweeping breezeways, stairways, etc.
F. Responsible for realizing capability limits and recommend specialized contract labor when applicable.
G. Responsible for reporting major damages to the building manager.
H. The maintenance professional is responsible for being “on call” to building manager only and will be paid for those hours worked.  This person is not “on call” to tenants.
I. Responsible for performing the duties of this positon as listed above.  Other duties may be assigned as required.
J. Maintenance professional must provide their own tools.

Responsibilities:

  • Manage every level of detail of the VP’s schedule by gaining familiarity with meeting purposes and priority levels, rearranging meetings as needed to maintain orderly flow of priorities.  This will include on-site, off-site, international, and networking/community meetings.  Make the “magic” happen discretely behind the scenes, such that it appears effortless.
  • Develop strong relationships with the other Executive Assistants (in Houston and in Perth) such that rearranging meetings with Perth are effectively and easily navigated.
  • Due to the global nature of our company and business, be available and alert during “after-hours” if the leader has meeting such that last minute changes do not cause conflicts or confusion for the leader.
  • Make domestic/international travel arrangements, including flights, transportation, accommodations (temporary and long-term).  Prepare daily/weekly travel agendas and manage details to ensure the executive is well prepared as necessary and all last minute changes are managed such that meetings and necessary materials flow effectively.
  • Ensure the leader is fully prepared for meetings by planning ahead, considering appropriate attire, travel times, a need to have lunch, breaks, and generally be intuitive about what needs may arise.  Plan ahead.  Know what he needs before he knows for himself.
  • Thoroughly understand how to use the electronic equipment for video conferencing, prepare materials (copies, electronic presentations, etc), equipment (video, computer projector) and conference room for meetings.
  • Support “all employees” meetings by ensuring the room is prepared properly and ready ahead of the start of the meeting.  When sending out “all employee” meeting requests, take ownership that all goes according to plan for the presenter(s).
  • Ensure orderly flow of documents needing approvals and make proper alerts regarding any deadline issues that may arise.  Be comfortable enough to push back when requests for signatures come at the last minute and ensure deadlines are “real.” Ensure requestor had initialled documents, showing his/her endorsement before leaving for the signature.
  • Manage credit card reports, coding of expenses, and receipts, such that timely and accurate submissions are made.
  • Utilize SAP and other internal systems to create purchase orders, process billings/invoices, and ensure timely payment of bills.
  • Navigate other internal matters on behalf of the leader such that there is very little distraction from key priorities.
  • Assist with maintaining a clean and orderly kitchen, file room, copy room, and workplace.  May have sole responsibility from time to time, as other admin team members are on leave.

  • Scheduling conflicts are quickly and easily resolved without involving guests, and only infrequent need to raise conflicts to a leader for resolution.

Requirements:

  • Associates Degree required; Bachelors degree preferred.
  • 10+ years’ experience working in an administrative assistant/support role in a highly professional office environment; 5+ years directly supporting senior leaders/executives; at least 2 years’ experience at and Exploration and Production (E&P) company.
  • Expert user of Microsoft Outlook.
  • Expert experience with Word, Excel, and PowerPoint, for creating reports, letters, spread sheets and presentations.
  • Proven record of strong organizational and multi-tasking skills while maintaining a strong positive attitude.
