Our Plano, TX client is looking for a Mail Room Manager on a direct hire basis.

Duties and Responsibilities:   
Hands-on experience with USPS postal regulations
Must know the details of what each shipment to the Post Office needs
Well versed in the new qualifications of First Class, Presort First Class, Standard Mail, Non-Profit Mail
Must be a good scheduler
Able to communicate effectively with the Post Office
Perform routine quality control functions on print and postal report files created to ensure that specifications are correct
Experience with BCC Software/Mail Manager and understanding of mail barcodes, mail house, presort and co-mingling.
Skills/Qualifications:
Attention to Detail, Planning, Deadline-Oriented
5 years minimum experience creating and producing postal documents
Have to know the requirements of standard mail pieces
Creates postal documents, understands Form 3602

Should know about MERLIN – MERLIN program, an acronym for Mail Evaluation Readability Lookup Instrument, is a tool that is used by the U.S. Postal Service to assist with the acceptance of business mail.  The MERLIN program helps you qualify for automation discounts and meet acceptance requirements for bulk mailings.
Experience using BCC Software/Mail Manager
Forward facing – works with Project Management team & Programmers, works with Project Managers on determining how we are mailing the job, able to work with the Post Office so they can approve the piece
Needs to know what paper it is going on, what is going into the envelope, can look at the indicia and can define weight
IMB certified or know what it is to be IMB certified – new bar codes that the Post office is going to set up in 11/11 and changes in upcoming Postal Regulations (Mailcom, MBA classes & other postal forums) – electronic communication  with the ability to track pieces, send postal documents, and communicate with the Post Office.  Have to let the Post Office know ahead of time when you will be delivering to the Post Office and they approve the time to be at the Post Office dock.
Needs to know how to take the document, change quantity, create Postal docs and how you create pallet flags, tray tags, verify weight correctly
Scitex experience a plus
Familiar with DMM (Domestic Mail Manual – Mailing Standards of the United States Postal Service)

The Client Account Specialist will focus on high-level customer service both internally and externally.  The position supports producers in a variety of tasks and requires the ability to handle multiple job functions simultaneously. The Client Account Specialist is expected to take initiative in order to service the customer in the best possible manner, provide general administrative services to ensure policy compliance and facilitate processing of essential policy related documents.

Responsibilities:
Manage workflow between producers, clients and various Credit Insurance Carriers and produce necessary documentation with a focus on organization and prompt response.
Provide high level customer service to internal and external clients by processing new and renewal applications quickly and efficiently.  Train clients as necessary with regards to reporting requirements, on line systems available from their carrier and other policy related requirements.  Facilitate responses from carriers and producers as needed to provide answers to compliance related questions.  As necessary, tactfully notify clients of payments due to carriers and company.
Input requests the same day received.  Search for customer history, contact banks for references and contact the insured as required for additional information necessary to expedite the processing of the requests, as needed.
Provide excellent External Client Service by answering inbound calls utilizing a customer service orientation and to assist in all areas of customer service to ensure policy compliance.  Additionally, reach out to customers via phone calls on a regular basis to ensure relationships are both maintained and nurtured.  This position also requires an individual who desires to periodically visit clients with producer to establish, maintain and nurture the relationship with client.
Provide Internal Client Service by working jointly with his/her assigned agents to develop a team approach for achieving the gross written revenue objectives; orchestrate mailings to prospective credit insurance prospects; and developing or filtering prospect pools for the agents.
Utilize with proficiency Microsoft Office Suite of programs and multiple internal IT systems and multiple carrier systems to maintain accurate, consistent, up to date files.  Purge outdated information on a continual basis.
Annually, as part of the company’s ongoing process improvement goals, identify, initiate, develop, coordinate and lead a process improvement initiative that will make a direct and positive impact on the efficiency of the CAS group and/or the company.

Requirements:

Duties:
Responsible for the preparation and processing of biweekly payroll for over 600 employees; review and ensure accuracy of approved timesheets; track and deduct all garnishments and other special payroll deductions.
Responsible for the coordination of efforts between payroll, human resources, accounting, and store locations to ensure proper flow and maintenance of employee data (including preparation and distribution of detailed reports, e.g. labor reports, overtime, vacation and sick balances, head count, and 401k contribution reports).
Handle the administration of the electronic timekeeping system. Setup each employee, valid programs for each employee’s charges, and adherence to FLSA; monitor submissions of approved timesheets, ensure valid data transfers to/from payroll service
Establish/maintain employee records; ensure that employee changes are entered correctly and made on a timely basis; review changes for proper authorization and adherence to policy including compliance with federal, state, and local laws and regulations.

Receive weekly electronic timecard batches—follow up with store managers on any missing data (missing incentives, breakage, or late reports).
Upload hours worked; vacation/sick/holiday time into Ceridian (includes vacation eligibility verification).
Upload incentive pay data from point-of-sale system into payroll software; verify that incentives have been calculated and uploaded correctly.
Answer payroll calls from stores, giving accurate information and using discretion and positive communication.
Receipt of live checks and paystubs deliveries from payroll vendor; check for accuracy; prepare UPS envelopes and ship to store locations.

Requirements and Qualifications:
Associate’s degree in accounting, business, finance or related field
Three or more years in a payroll department performing all payroll functions (three additional years’ of specific payroll experience in lieu of associate’s degree).
Minimum of 3-4 years recent experience with Ceridian
Experience with the roll-out of a new HRIS/payroll systems highly preferred
Ability to maintain confidentiality and exercise extreme discretion.
