Our Colleyville, TX client is seeking an Administrative Assistant on a contract to possible hire basis to provide a professional, friendly first contact for incoming guests and calls and provide general office support to entire staff through a variety of clerical activities and related tasks. Additionally, to maintain a smooth front office operation, distributing print, fax, mail and messenger run documents, requisition of supplies, as well as additional clerical duties.

Responsibilities:
Efficiently using a multi-line phone system to answer and appropriately field/direct all incoming calls with a prompt, professional, and friendly demeanor
Greeting guests with prompt, professional, and friendly demeanor, while maintaining visitor sign-in and related security procedures
Receiving and accurately distributing incoming mail, express mail, messenger runs, faxes, and internal prints.
Efficiently using machines/systems to apply postage, create express mail tickets, and fax; sending outgoing mail, express mail, and faxes within daily procedural timeframes, and as requested by staff
Assisting with machine maintenance by ensuring normal operation of equipment, completing preventive maintenance requirements, and calling for/coordinating repairs as necessary
Accurately maintaining shipment and customer files/recordkeeping systems; pulling files as requested and replacing them in correct sequence for each department’s specifications; anticipating space needs and logging and moving boxed filing in/out of storage areas; requires physical ability to repetitively lift 15-20 pounds on a periodic basis.
Maintaining office supply inventory by checking and organizing supplies; anticipating needed supplies; placing and expediting orders for supplies as needed; verifying receipt of and invoices for supplies.
Completing department and/or customer account specific tasks as requested by managers
Assisting with copying/scanning as requested by staff
Assisting with annual/periodic projects as requested – holiday cards, staff birthday cards, company celebrations, tariff books, customer appreciation, and other special orders/projects.
Daily tidying of staff break room – Coffee, dishwasher, tabletops, sink, and countertops
Contributing to team effort by accomplishing related results as needed.

Requirements:
High school diploma or equivalent (GED)
6 months – 1 year of relevant experience, or equivalent combination of education and experience.
Professional appearance and manner
Excellent phone etiquette, verbal, and interpersonal communication skills
Punctuality and dependability
Planning and organizational skills
Ability to multi-task
Ability to work independently on assigned tasks, as well as to accept direction on given assignments
Knowledge of MS Office (Word, Excel, Outlook)
Ability to lift 15-20 pounds
