Our Dallas client is looking to hire an Administrative Assistant to join their team on a contract to hire basis.

JOB DESCRIPTION:

– Coordinates the Master Service Agreement process, approvals, and system maintenance.

– Act as a vendor support liaison for delivery schedules, complaints, order writing, and repairs.

– Maintains the Master Service Agreement database, inputting vendor information into the database, and regulates accuracy.

– Coordinates vendor contacts and works with the legal departments of contracted suppliers to complete the Master Service Agreement.

– Regularly spends 25% of work time supporting the Legal department with standard administrative duties including but not limited to the drafting of letters, proofreading agreements, record maintenance, etc.

– Regularly spends 25% of work time devoted to covering the receptionist function for the office including but not limited to answering the main phone line, transferring calls, greeting guests, maintaining the breakrooms (making daily coffee / displaying snacks / ensuring cleanliness / checking expiration dates) and office supply areas, coordinating pool vehicles, etc.

– Responsible for covering the reception function in the event the permanent receptionist is absent.

– Other duties and projects will be assigned as required.

JOB REQUIREMENTS:

– High school degree or equivalent.

– Knowledge of standard administrative functions.

– Knowledge of basic contracts and procurement as it relates to the oil and gas industry.

– College degree preferred.

– Two or more years of administrative experience or paralegal experience.

– Excellent attention to detail.

– Effective oral and written communication skills and strong interpersonal skills.

– Ability to maintain a friendly, professional and pleasant demeanor during high volume periods of stress.

– Able to apply common sense and logic to solve problems.

– Able to work flexible hours if required.

– Ability to operate standard office equipment and follow office procedures.

– Able to work independently with minimal supervision.

– Strong Microsoft Word, Excel and Outlook skills.
