Our Dallas, TX client is seeking an Administrative Assistant/Office Manager for their small commercial real estate investment firm.  The ideal candidate will be very positive, independent, intelligent, and self motivated.

Essential Job Functions:

Monitoring accounts receivable and payable

Entering invoices

Answer and screen all telephone calls in a professional manner.  Take clear and concise messages and/or field and answer all routine and non routine questions.

Meet and greet guests.

Maintain executive’s calendar via Outlook, which includes coordinating, planning and scheduling meetings and appointments.

Coordinate travel arrangements as necessary.

Prepare and track expense reports using QuickBooks.

Track workflow of property management contract execution.

Compose and type standard correspondence and draft reports.

Organize and maintain correspondence and records; follow-up on pending matters.

Assist in generating documents by abstracting contract terms and conditions.

Assist in consolidating contractual documents.

Handle and maintain sensitive and confidential information

Work on special projects

Create and edit visual presentations using PowerPoint as necessary.

Fax, photocopy and scan as requested.

Skills and Requirements:

Bachelor’s degree is highly preferred

2-5 years of experience.

QuickBooks and MS Outlook

Commercial Real Estate knowledge a plus.

Must have high level of interpersonal skills to handle sensitive and confidential situations.  Position continually requires demonstrated poise, tact and diplomacy.

Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.  Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.

Excellent communication and writing skills.

Must have knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through related administrative experience.

Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.

Contract to possible hire or direct hire.
