Our Midtown area Houston, TX client is seeking an Executive/Personal Assistant to support the CEO.

Responsibilities:

  • Serve as a primary point of contact for personal staff, solicitations and collaboration requests of the CEO.
  • Take independent action on handling requests; determine the appropriate course of action, and act as a liaison between CEO, employees and external business contacts.
  • Accompany CEO as needed during fact finding/due diligence travel to provide administrative assistance for documentation purposes.
  • Create business documents, reports and presentations for Company meetings, vendor commitments and personal business opportunities.
  • Arrange and coordinate logistics of complex domestic and international travel plans. Prepare detailed itineraries to assure accuracy.
  • Develop internal procedures to maintain an effective filing system, both hard copy and electronic (DMS).
  • Handle highly confidential information with uncompromising discretion.
  • Schedule, organize and manage complex calendar/appointments.
  • Screen incoming calls, email and social correspondence.
  • Oversee personal properties, automobiles and domestic help, including but not limited to interior design, maintenance, and personal staff.
  • Administer personal accounts payable, bank and credit card reconciliations and prepare monthly financial reports as requested.
  • Execute personal tasks including but not limited to making reservations, picking up dry cleaning, party planning and errand running.
  • Perform a variety of other, related, duties as needed.

Requirements:

  • Bachelors Degree
  • 7+  years prior Executive Assistant experience supporting a high profile, senior level executive
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Visio)
  • Proficiency in Quickbooks (Invoicing, tracking payables, custom reports, etc…)
  • Familiarity with Document Management Systems
  • Superb leadership skills, including the ability to think strategically, beyond day-to-day issues
  • Exceptional communication skills – written, verbal and interpersonal
  • Ability to multi-task, balance competing priorities and complete unexpected assignments
  • Polished and posed with professional mindset
  • Comfortable in a high-change and ambiguous environment
  • Exceptional discretion in handling confidential information
  • Flexible with ability to be “on-call” and/or work evenings and weekend
  • Ability to travel up to 25%
