Our Irving client is looking for an Executive Assistant on a contract to hire basis. This position will report to the Vice-Chairman/President.
We are looking for an Executive Assistant to the Vice-Chairman/President to serve as a senior-level administrative and personal assistant.
This person will be responsible for facilitating critical interactions and activities between the Office of the Vice-Chairman/President and other company business functions (including members of Senior Executive Management), industry partners, corporate groups, and professional and community organizations.
Essential Duties & Responsibilities:
This individual provides front line support to the Vice-Chairman/President.
Primary responsibilities include:
Calendar management, scheduling meetings and conference calls, booking travel and planning events.
Screen/triage incoming calls, visitors and correspondence.
Work closely with the Vice-Chairman/President and his family on personal matters.
Four or more (4+) years in a primary support role to a C-level executive.
Demonstrated time and organizational management (including travel, scheduling and interpersonal communications).
Thorough knowledge of administrative practices and business procedures along with solid proficiency in MS Office Suite (Word, Excel, PowerPoint, and Outlook) and Internet research.
The ability to handle the highest level of confidential information with discretion.
Must be extremely detail-oriented with a concern for order and quality.
Excellent communication and interpersonal skills with the ability to summarize comprehensively and tactically.
Swift ability to understand preferences and anticipate needs.
Ability to work with members of senior management and business unit leaders.
Professional and polished presence that reflects a sense of credibility and accountability.
Resourceful and flexible in providing creative solutions to business challenges.
Confident and capable of making sound decisions and exercising independent judgment.
High level of understanding of corporate structure and protocol.
Critical tasks may require extended hours to meet deadlines. Candidate should be available to provide administrative support outside of normal business hours and on weekends, as necessary.
