Our Brookshire, TX client is seeking a contract to possible hire Human Resources Administrative Assistant.

SUMMARY:

  • Performs duties of administrative assistant for Human Resources department and administrator for the HRIS. Establishes and maintains confidential personnel records reflecting changes in employee status. Manages mailings, all data entry for personnel and employment files, coordinates communications with all levels, schedules appointments, gives information to callers, and relieves department of clerical work and assists with administrative detail. Performs other projects as assigned. Supports remote location(s).

Responsibilities:

  • Administers HR information system and proactively manages the data. Enters and retrieves data and generates valid/accurate reports from HRIS.
  • Builds or creates reports as requested. Proactively manages HRIS to track all necessary data for reporting requirements and retention (HR, SEED, Compensation, benefits).
  • Maintains HRIS as needed for new hires, transfers and leavers by deadlines.
  • Answers telephone and /or greets visitors, ascertains nature of business, and directs visitors to appropriate person in department. Completes employment verifications, unemployment claims as required.
  • Files correspondence and maintains personnel records in accordance with legal or corporate requirements, including all ee documentation, I-9’s.Creates or closes our employee personnel files in a timely fashion (within 48hours) with all complete required documents.
  • Sends Confidentiality Agreement & notifies Exit interview on termination.
  • Creates employee badges and delivers in a timely fashion (1 business day)
  • Enters benefit information into HRIS for new hires. Provide monthly report to Benefits for new hire enrollment:
  • Assist, as requested, with input of enrollment data with benefit carriers.
  • Assist with check requests for benefit invoicing and mailings.
  • Assists Safety & QESH with requested information & reporting, manhours, SEED.
  • Acts as backup for HR Coordinator on recruiting, on-boarding, department requirements.
  • Assists HR department on special projects.
  • Maintains and develops HR and DTSM Sharepoint, ExitRight, Office supplies, etc.
  • Maintains Performance Review (e folder) and other folders as requested on HR network drive.
  • Schedules appointments or reservations for Human Resources staff as needed.
  • Makes copies of correspondence or other printed material.
  • Coordinates circulars, company communications.
  • Supports, cooperates with, and participates in company-wide EHS Management.
  • System which includes following all safety, health and environmental policies and procedures. Supports and cooperates in company-wide Quality Management effort.
  • Performs other duties as assigned.

Qualifications:

  • Two years experience in HR administration. Required.
  • In-depth knowledge of HR database administration, HR Perspective/PCPW experience preferred.
  • Ability to handle confidential material/matters with integrity.
  • Excellent planning, communication and organizational skills are required.
  • Excellent interpersonal skills.
  • Ability to work cooperatively and communicate with all coworkers at all levels of the organization.
  • Solid software skills in MS Office (Word, Excel and Outlook) required and working knowledge of Sharepoint and network drives preferred.
