Our Midtown Houston, TX client is in search of a Legal Administrative Assistant for a contract to hire opportunity. .

Summary:
Provide cross-coverage for other members of the Administration department, including serving as back-up for the following functions:

Job Responsibilities:
Greet callers and walk-in visitors in a warm and professional manner; exercise good judgment in determining urgency of calls and routing of calls (e.g., email message, track down lawyer in the office, transfer to cell phone, route call to alternate person, etc.)
Receive, open, distribute and file correspondence in a timely manner; exercise good judgment in determining urgency of correspondence and ensuring appropriate personnel are advised as needed
Update and maintain vendor NDAs and cross-reference on electronic and paper systems
Input and maintain contract management system, setting up reminder system for contract expiration, renegotiation and/or cancellation
Monitor performance of contracts and pertinent dates (e.g., renewal and termination windows) to ensure compliance and proper termination as appropriate
Maintain spreadsheet tracking signed Confidentiality Agreements of each team member, securing original signatures, and providing team member with countersigned copy
Prepare reports, contracts and correspondence (including drafting routine correspondence and other documents) for approval and signature
Prepare spreadsheets and PowerPoint presentations as needed
Assist in various facets of litigation, e.g., hearing notebooks, calendaring, meeting scheduling, deposition and hearing summaries, de-duplicating and eliminating paper files (to the extent possible), and maintaining well-organized electronic files
Make travel arrangements for lawyers, including arrangements for attendance at conferences and seminars
Manage updates for law books
Analyze expenses, including maintaining a legal expenses spreadsheet, to assist in budget forecasting
Assist in analyzing outside counsel expenses including maintaining spreadsheets tracking individual attorney hours against total percentage of hours billed
Perform other administrative legal duties as required

Requirements:
Bachelors Degree preferred/ Associates Degree Required
Minimum of five years administrative experience; some legal assistant/secretary experience preferred
Desire to work on a team and collaborate with others; desire to assist others
Initiative to suggest and drive implementation of improvements to processes and procedures
Excellent verbal and written communication skills
Demonstrated ability and desire to exercise discretion with confidential information
Self-motivation for recurring duties and keeping department organized and files up-to-date
Ability to type at least 60 WPM
Proficiency in MS Word, PowerPoint, Excel and Outlook
Ability to prepare and review documents requiring strong attention to detail in a timely manner
Ability to manage both unscheduled projects and ongoing responsibilities in a timely manner
MUST be a good team member and be willing to do administrative duties not related to legal
