Frontline Source Group – temporary staffing and direct hire firm – is looking for a Legal Executive Assistant for our Nashville, TN client on a temp to possible hire basis.

General Summary:
The individual hired into this position is expected to provide executive assistant support as well as clerical and legal secretarial assistance to the attorneys in the office, including making travel arrangements, calendaring/ docketing important dates and events, tracking appointments, drafting legal correspondence, and maintaining filing for 3 attorneys.

Essential Job Functions:
Ability to juggle multiple attorneys and organize/ prioritize various tasks for attorneys and other staff
Ability to maintain and organize confidential firm and client information.
Coordinate attorneys’ calendars, scheduling appointments and meeting rooms.
Assist with making travel and accommodation arrangements.
Draft and/or types legal correspondence and reports using firm computer.
Open, sort and enter all mail into the Document Management System.
Operate office equipment such as photocopier, fax machine, and calculator.
Operate personal computer to use e-mail, electronic calendars, and other basic office support software.
Answer telephone, screens callers, relays messages, and greets visitors.
Maintain filing system in alphanumeric order and quickly locate material from files.
Regular and punctual work attendance.
Excellent organizational skills.
MUST have experience with electronic case filing experience – Federal/State Court
MUST have extensive legal experience – preferably with Defense

Scope of Responsibility:
The individual hired into this position should know the informal policies, procedures and practices necessary to conduct the normal function of a Legal/ Executive Assistant in a Law Firm. She/he should be aware of the role of the position and its potential impact on the office.

Decision Making:
In terms of decision-making, the individual hired into this position will be expected to carry out routine duties and responsibilities with supervision.  He or she should be able to make decisions and establish work priorities on essential procedure-oriented operations.

Communication:
The candidate should be able to exchange confidential information in an appropriate manner, with excellent oral and written communication skills.

Education:
Requires High School Diploma or GED

Experience:
Prior Law Firm experience is required.

Certification:
No certifications required.

Physical Requirements:
Sitting in a normal seated position for extended periods of time
Reaching by extending hand(s) or arm(s) in any direction
Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard
Communication skills using the spoken word
Ability to see within normal parameters
Ability to hear within normal range
Ability to move about
