Our Farmers Branch, TX client is seeking an Office Manager on a contract to possible hire basis.

Responsibilities:
Receive previous days timesheets and verify cost codes/time & enter into Excel spreadsheets then forward to Austin
Sort daily delivery tickets from material suppliers/sub contractors and enter into Excel spreadsheets
Receive all incoming certified payrolls from sub contractors, log into spreadsheet and forward copy to appropriate TXDOT area engineers office
Print weekly certified payrolls from COINS and submit to TXDOT office
Update weekly OJT reports for submission to appropriate TXDOT area engineers office
Issue purchase orders (PO’s) for various job site materials and maintain a purchase order log.
Receive all incoming delivery tickets and match with appropriate PO’s for payment when invoice received
Receive incoming mail and distribute accordingly. (pay invoices)
Receive and sort weekly payroll package from Atlanta for distribution to job foremen
Receive weekly package from Austin and distribute accordingly
Maintain document control log for each specific job of all correspondence relating to the job
Print biweekly management payroll for signatures and match approved vacation forms to the pay sheet for submission to Austin office
Print weekly timecards for all foremen
New hire orientation for all new hires, craft & salary
Maintain log for new hires and retest dates (30 days) for the safety quiz given at orientation
Receive all incoming applications for employment and maintain monthly application log
Receive, total and enter into Excel spreadsheet the monthly gas logs from all employees required to complete a gas log
Prepare a monthly gasoline summary and send to Austin
Prepare monthly hours and job site injury report for Austin. (UK safety report)
Issue certificates for monthly job safety awards
Send 2-3 weekly Fedex packages to Austin for processing of invoices/misc.
Maintain EEO recruitment log of calls made to referral sources
Send quarterly letters to EEO recruitment sources and follow up on progress
Place ads in various minority news publications for recruitment of minority employees
Hold EEO meetings with employees usually conducted concurrently with a monthly safety meeting
Maintain OSHA 300 log for all job related injuries and post log in February of each year
Claim reporting for all workers compensation, general liability and automobile claims to Zurich
Run annual MVR’s on all employees that drive company vehicles or have a vehicle on rent
Complete annual FHWA 1391 forms for all jobs and receive and forward all 1391 forms submitted from sub contractors to appropriate area engineers office

Requirements:
3+ years of office management experience within the construction industry
Bachelor’s degree preferred but not required
Proficient in Microsoft Office Suite
Demonstrate attention to detail and ability to multi-task
Must be motivated, proactive, customer service oriented and have the ability to work towards the common goal of the team
Must be able to handle multiple tasks, complexity, and diversity of customers
Excellent communication and writing skills.
