Job Description

Receives e-mails from reps of job that have been completed. Taking the photos and placing them in folders on a network drive in sequences that coincide with jobs that were place. Placing photos into Microsoft Word along with a description of the job that was performed. Saving and then uploading file to our website. Calling and e-mailing reps if there is a problem with a job in a professional manner. Then placing admin notes on the web for further review. Must be able to work well with others as well as independently.

Key areas of responsibility

  • Maintain established policy and procedures for creating photo docs.
  • Ensure all file statuses are correctly placed.
  • Sort and maintain E-mail throughout the day.
  • Order and store photos onto a network drive.
  • Prioritize files according to due dates or importance.
  • Helping other team members or departments.
  • Creating, reviewing, saving, and uploading finished photo docs for clients to view.
  • Train staff as needed
  • Participate in team meetings
  • Implement and adapt to new processes to align with departmental and company changes.

Qualifications

General office and computer literacy with proficiency with MS Word, Internet Explorer and Outlook; Knowledge of industry and company standards; knowledge of vendor requirements; excellent interpersonal skills and good customer service skills. Ability to work under deadline pressure and extra hours if needed. Extremely detailed oriented with good organizational skills and ability to complete tasks on time. Must have the ability to analyze and solve problems.

Job Objective:

Ensure proper booking of operational business transactions (especially fixed asset transactions) into the company’s general and subsidiary ledgers.   Assist in all aspects of accounting for the company’s daily operations by participating in monthly closings, accounts payable and receivable processing, preparation of financial statements, reconciliations and maintenance of financial schedules and subsidiary ledgers.

Job Description:

Participate in the authorization for expenditure process.  Activities include such things as receiving a request from engineering or operations, documenting the request in the appropriate systems, working with finance to determine budget status of the request, routing the request to receive required approvals, setting up unique fixed-asset system identifiers so that appropriate charges can be accumulated and identified, depreciated, etc.

Develop and maintain and improve fixed asset sub ledger; prepare internal fixed asset reports, monthly PP&E roll-forwards and account reconciliations, investigate and resolve general ledger/sub-ledger anomalies

Monitor project costs for asset construction to inform management and accounting/finance peers of project status as compared to budget

Create and maintain fixed asset process to ensure proper control of inventories and fixed assets

Participate in periodic physical inventory counts/verifications; prepare documentation to adjust booked balances to verified balances

Work with engineering/operations to develop monthly accounting accruals for capital (fixed asset) expenditures and operating expenditures

Prepare and post monthly depreciation for all fixed assets

Propose, prepare and upload monthly journal entries related to work in progress and fixed assets

Participate in periodic operations/engineering meetings to ensure that accounting/finance is appropriately booking transactions and planning for upcoming expenditures.  Develop rapport with operations/engineering staff so that you become the finance/accounting source for variance explanations, etc.

Work with accounts payable department to ensure proper general and sub ledger coding of capital and operational expenditures

Provide support to internal and external auditors examining fixed assets and the fixed asset/capital expenditure process

Work with other areas of accounting (as well as finance, engineering and operations) to ensure appropriate use of systems and information

Develop, implement and communicate process improvements made through process optimization and adaptation of technology.

Participate with the finance/accounting team to ensure fulfillment of team objectives.

Job Qualifications:

Bachelor’s Degree – Accounting; CPA or CMA desirable

Skilled at understanding basic GAAP especially as related to fixed asset/capital project accounting

3+ years experience with an emphasis on cost / fixed-asset/ capital project accounting is REQUIRED

Oil, natural gas, or energy industry experience is REQUIRED, no exceptions

Familiarity with the Microsoft Office suite of products.  Intermediate/Advanced MS Excel skills essential.

Strong teamwork skills

Strong analytical and presentation skills (must be able to summarize information for upper management review).

Ability to interact calmly and confidently with peers and a diverse group of engineering and operations colleagues.

Self-motivated individual with ability to function in a fast-paced environment with limited supervision and direction.

BASIC FUNCTION

Provide assistance to Hiring Managers in the areas of job posting, background checks, software upkeep and pre-screening of candidates for positions throughout the company

PRINCIPAL ACCOUNTABILITIES

Responsible for upkeep of recruiting software to include tracking of all positions both open and closed.

Ensure that company does not hire more than the contracted amount of people for each job.

Post and track open positions both on our internal and external sites.

Write and post open positions to multiple websites including military sites.

Conduct background checks on prospective employees for those sites in which the contract requires.

Manage the software and run reports for our Affirmative Action Program.

Perform interviews on certain positions as required.

Assist with HR Assistant duties when on vacation or out sick.

Assist with salary searches and COLA increases for bids.

Responsible for additional clerical duties such as copying and compiling forms, miscellaneous filing, etc.

Perform additional duties/assignments as may be required by management

REQUIRED KNOWLEDGE AND EXPERIENCE

Minimum 3 years experience in Human Resources.

Excellent communication, organizational and interpersonal skills.

Proficiency in MS Office.

Ability to maintain confidentiality.

Experience with Kronos HR, HireDesk and Speedeeo software a plus.

Attention to detail a must.

Ability to work with all levels of employees.

Primary Objective:

Job Functions:

Impacts the smooth running of the project and is instrumental in ensuring the project achieves its targeted completion date.

Ensures the application of relevant Health, Safety, Security and Environmental policies on all project activities. Promote a strong safety culture in project and functional teams, and in work undertaken by contractors and suppliers.

Education and Experience:
Bachelor’s degree in engineering. In-depth understanding of natural gas pipeline projects.  Minimum 10 years experience.   Verifiable record in the successful provision of project services on at least one complex natural gas project.

Competencies:

Establishes and implements an agreed reporting structure and format.

Approves the Design Management Plan developed by the Engineering Manager, ensuring it includes: the setting of the design basis, codes, standards and design philosophies; design document review and approval (including Technical Authority approval); the control of design changes and concessions; and how HSSE, constructability, operability and maintainability are addressed in the design.

Works with the Construction Manager to develop a construction and installation plan through to mechanical completion and pre-commissioning, and approves same.

Ensures a plan for facilities integrity management (including Third Party Verification where appropriate) is developed and implemented.

Ensures that appropriate insurance provisions are established.

Develop and implement a plan for project close-out.

BASIC FUNCTION

The Payment/Data Administrator works in a team environment and is responsible for the operational tasks associated with servicing payment and data administration needs for defined benefit pension plans, maintaining compliance with the plan’s provisions and administrative policies.  This includes, but is not limited to, loading participant data, reconciling benefit payments, establishing payment records, communicating payee information changes, and handling retiree checks.

RESPONSIBILITIES OF THE POSITION

ü  Processing participant data updates and client payroll files

ü  Maintain and update payment administration procedures

ü  Review pension election forms and supporting documentation

ü  Prepare written communications for participants regarding payment issues

ü  Research participant records for internal and external requests related to payments

ü  Review and provide fulfillment of participant communications regarding payments

ü  Input payment information into Company’s pension system (and other systems when applicable)

ü  Maintain signature authority forms for each trustee and administer changes as needed

ü  Transmit information to Trustee for payment initiation and payment changes

ü  Communicate with Trustee regarding stop payments and check reinstatements

ü  Complete reconciliation of pension payments with Trustees

ü  Provide support resolving issues identified by death audits

ü  Monitor progress of daily tasks

ü  Ensure final work products are of high quality and provided in a timely fashion

ü  Provide support for special projects and other tasks as needed

ü  Identify, analyze, and assist in implementing process improvements

ü  Assist with training of new employees as needed

ü  Take an active role in pursuing continued education

REQUIRED EXPERIENCE AND SKILLS

ü  Ability to demonstrate strong organizational skills

ü  Strong analytical capabilities

ü  Great attention to detail

ü  Ability to work in a team environment and individually

ü  Strong verbal and written communication skills, with an emphasis on customer service

ü  Ability to balance and prioritize multiple projects

ü  Proficient in the use of Microsoft Windows and Microsoft Office suite (Word and Excel)

ü  Willing to pursue exams with the American Society of Pension Actuaries, National Institute of Pension Administrators, Society of Actuaries, or CEBS (a designation with any of these societies is a plus)

ü  Pension benefit background preferred

Our Oil & Gas client in The Woodlands, TX area client is seeking a Contract Executive Assistant.  This assignment will last about 3+ months.

The ideal candidate will have experience in handling a diverse range of administrative and executive support related tasks in the Oil & Gas Industry.  This person must be able to work with little or no direct supervision.  Exceptional organizational skills, flexibility, and a high degree of confidentiality are mandatory.  This person must interact effectively with executive board members in a very fast paced setting.

Duties:

– Arrange domestic and international travel itineraries.

– Assist in preparation for presentations.

– Prepare and process all expense reports.

– Screen all calls and direct callers appropriately.

– Create routine and non-routine correspondence, memoranda, and reports/meeting handouts.

– Schedule meetings and maintain executive calendars.

– Work with and securely maintain confidential information that comes into the office.

– Plan and coordinate special meetings and events.

Requirements and Additional Qualifications:

– 3+ years of executive level support.

– Bachelors degree required.

– Oil and Gas experience is highly preferred.  Experience supporting General Counsel is highly preferred.

– Strong knowledge of all MS Office Suite products (Word, PowerPoint, Excel, Outlook).

– Excellent calendar management skills, including the coordination of complex executive meetings.

– Proficiency in preparing high quality presentations.

– The ability to conduct basic analysis and ongoing research independently.

– Strong proven project management history.

– Professional demeanor and superior communication skills.

Prepares balance sheets, profit and loss statements and other financial reports.

Responsibilities also include analyzing trends, costs, revenues, financial commitments and obligations incurred to predict future revenues and expenses.

Requirements:

Relies on experience and judgment to plan and accomplish goals.

Typically reports to a manager or head of a unit/department. Good attitude, high energy with attention to detail.

Company is in the process of making a transition in accounting software, going from Axapta to Epicor 9.  Experience in accounting software conversion is a plus.
