Purchasing Coordinator – Plano, TX

Frontline Source Group – temporary staffing and direct hire firm – is looking for a Purchasing Coordinator for our Plano, TX client on a contract to possible hire basis.

General Job Functions:
The selected candidate will also have a minimum of one year Purchasing or Construction experience. This position will be responsible for supporting construction personnel in all purchasing and budgeting activities. The selected candidate will coordinate these processes with Sales, Operations, Accounting and vendors.

Summary of Position:
Establish and maintain labor and material costs for all plan options and option catalog items.
Create initial work orders and purchase orders for all construction starts via the preliminary purchasing report (PPR) with budgets customized for the appropriate exit strategy information. Verify margin on PPR is -consistent with program outline and review any exceptions with manager.
Coordinate cost establishment process between the field and vendors to achieve the goals of having budgets entered and checked for accuracy within two weeks for plan revisions and four weeks for new plans.
Process all requests from the field for extra material by entering and creating short order PO’s (SOPO’s) and expedite the receipt of material by communication with vendors by e-mail/ “Buzzsaw”.
Process change orders requested by the field, creating the appropriate budgets and copy confirmation back to the Project Manager.
Research and resolve all problem invoices with the goal of reducing problems by improving accuracy of takeoffs and orders and/or training vendors in working within our system.
Assist managers in analyzing changes in costs from month to month by keeping track of takeoff revisions, price changes, and labor budget changes. Enter updated sales prices from monthly program outlines for calculation of soft cost budgets.
Other duties as requested (i.e. backing up Purchasing Coordinators, answering phones etc).

Requirements:
Bachelor’s degree in Construction Management or a related field is preferred.
A minimum of one year construction or purchasing experience is required, preferably with a Homebuilding Company.
Customer service and/or order entry experience preferred.
Proficient in Microsoft Word and Excel.
Prior Brix Software experience preferred.

Construction Scheduler – Houston, TX

Frontline Source Group  – temporary staffing and direct hire firm – is looking for a Construction Scheduler for our client located in West Houston, TX, for a contract to possible hire opportunity.

Job Summary:
The Scheduler is responsible for coordinating all sub-contractor activities to complete each phase of construction.  Sets schedule / construction timeline on all jobs.  Ensures all work orders and necessary paperwork is delivered to each sub-contractor.  Resolves any conflicts in scheduling; corrects any miscommunications and maintains relationships with contractors to ensure production is able to move forward.

Essential Functions:
Communication / Liaison with Customers and Sub-Contractors:
Interactions with customers via phone and email regarding project movement, answer questions, and resolve any issues with scheduling.
Coordinate with Project Manager to maintain and move production schedule.
Interactions with sub-contractors to define construction schedule.  Maintain working relationship to promote quality of work and scheduling efficiency.
Plans project schedule and reorganizes based upon work flow, project circumstances and vendor availability.

Paperwork:
Produce and distribute work orders to sub-contractors and vendors.  Maintain construction file and update notes on project files.
Copy permits and all project paperwork to make complete and accurate job files.
Fill out incident reports
Maintain in-office spreadsheets tracking data
Produce and maintain accurate construction files including: contract addendums, revised plans, incident reports, material selections, etc.

Minimum Job Requirements:
Education: High school diploma required; Associates Degree preferred
Experience: 1 – 3 years related experience
Specific Skills:  Strong attention to detail, able to make decisions relative to scheduling

Interfaces:
Internal: Project Managers and General Managers:  updates regarding job process and progress and questions.
External: Customers to answer questions and coordinate installation;  Sub-Contractors to distribute work orders, determine schedule. 

Success Factors:
Able to multi-task and prioritize effectively
Able to quickly react to a variety of situations
Excellent communication skills – listening, conflict resolution, etc.

Research customer concerns, provide timely feedback to customers.

Answer questions regarding ship dates and attempt to expedite if requested. Work with Pool Ship Manager and distributor to combine orders for maximum freight savings.
Responsible for freight claims, remake orders and back-charges. Maintain a data base of field service crews to assist distributors with fix and repair.
Maintain accurate distributor files (sales copies, special pricing information).
Maintain communications with sales people regarding distributor problems, pricing, discounts and other information pertinent to companies and distributors relationship.
Participate in estimating, shop seminars and sales functions including after hour functions.
Maintain professional level in all customer and sales personnel contacts.
This position has the authority to stop action on work until concerns are resolved and to initiate and/or participate in identifying and implementing actions to correct existing and prevent future occurrences.

Requirements:
Previous Customer Service experience is highly preferred
Will also consider administrative experience from construction or manufacturing
2+ years of experience is preferred

ARCHITECT: Reach out to architects and build solid relationships by Product introduction, education, and developing solutions for their project needs and get VIVA Railings specified.
Respond to leads and sales opportunities by scheduling appointments and meeting with potential customers for product demonstrations, to provide quotes and close sales
Call on and develop consultative relationship with builders, specifying architects and designers educate them on products and services, influence them to specify Marvin products and develop project sales opportunities. Conduct sales presentations and product knowledge meetings.
Identify effective and active local building industry organizations; be active to build brand awareness and develop relationships.  Represent the Company at industry events and trade and home shows.
Respond to customer inquiries regarding products, pricing, delivery, construction information, and order status and/or warranty questions
Communicate territory activity, architect and trade contacts, project opportunities, project status, competitive activity and other pertinent market and field information through CRM
Enter sales orders and verify for accuracy, correct pricing and delivery schedule
Manage and follow-up on open quotes and existing sales orders
Collect deposits and payments and provide assistance with customer account receivable issues
Act as a liaison between the Company and the customer to resolve product, delivery, warranty and other issues
Receive and store product and deliver samples, parts and products
Determine market strategies and goals for the territory to ensure comprehensive market coverage for all product brands, in all market segments; including new construction and remodels

Requirements:
Minimum of 3 years’ experience in outside sales in decorative railings, ornamental railings, building materials or construction related products calling on builders and contractors
Excellent interpersonal skills and experienced at using consultative selling techniques to build relationships and grow sales
Bachelor’s degree in Marketing, Interior Design or Construction
A road warrior with a valid driver’s license and a satisfactory driving record
Ability to work a flexible schedule, which includes some evenings, weekends, and overnight travel based on Company and customers’ needs
Strong computer skills including a high level of proficiency using Microsoft Office, experience with Customer Relationship Management (CRM) software desirable
Confident, self-motivated and enjoys working in new situations
Strong presentation skills along with effective, professional and persuasive verbal and written communication skills

Residential AutoCad Drafter – Plano TX

Frontline Source Group  – temporary staffing and direct hire firm – is looking for a Residential AutoCad Drafter for our Plano, TX client on a direct hire basis.

Summary of Position:
Produces construction drawings using manual and computer aided tools.
Completes all production assignments according to established schedules and needs of design development/starts. Meets target due dates for projects or notifies Product or Project Manager as soon as possible with delays in completion. Maintains a personal production schedule.
Responsible for the production and accuracy of construction documents (standard plans, specials, and plot plans), processes paperwork, artwork and correspondence. Manages and maintains plan files.
Prepares plans and specifications for lenders or review boards as needed.
Prepares forms and coordinates procedures necessary to obtain copyright protection for assigned projects.
Adheres to construction document standards as outlined in the Architectural Services Standards Manual.
Maintains a good working knowledge of the materials and methods of residential construction.
Tracks all assigned plans through department processes.  Accurately documents all changes on plan revisions. Ensures that appropriate signatures are present on required documents and plans.
Visits field construction sites as needed to resolve product issues.  Authority to make plan/design changes shall vary with the complexity of issues and experience level.  All situations shall be referred to Product or Project Manager before initiating any changes.
Manages/maintains the product standards and specification levels for a specific series of plans as assigned.

Requirements:
Bachelor’s degree in in Design, Construction or other related field with two years of direct work experience including the use of AutoCAD is required or two year technical degree with four years direct work experience including two years of AutoCAD use is required.
Prior experience in residential construction, building codes, and drafting standards with a focus on producing/coordinating documents for wood frame construction preferred.
Proficient in MS Office software (Word, Excel, Outlook, Powerpoint, etc.)
Proficient in drafting software (AutoCAD, Revit, or comparable software).
Ability to read, interpret, and communicate information necessary in order to perform duties.
Ability to work on several projects and tasks on a daily basis.

Project Manager – Houston TX

Frontline Source Group  – temporary staffing and direct hire firm – is looking for a Project Manager for our Houston, TX client, located in The Heights area for a contract to hire or Direct Hire opportunity.

GENERAL DUTIES:
Manage and prepare projects for our distributors from time of project estimate through shipping and after-sale phone communications.  Manage job requirements as it relates to hardware preparations, shipping, project problems and field inspections.  This position is also responsible for $2,000,000 dollars in incremental sales.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Responsible for a minimum of $2.5MM in incremental sales.
Manage distributor projects through estimating, submittal, order writing and processing, production, shipping, off-site welding and after-sale communications.
Serve as primary contact for distributors on all aspects of a given project.
Interpret customer take-off information.
Prepare complete and accurate estimate to the customer using both computer software and pricing manuals.
Check shop drawings for accuracy, manufacturability, specification requirements and coordination of hardware, door and frames for functionality and label capabilities.
Prepare detailed door listing from architectural plans and specs.
Write customer orders for order processing.
Prepared to enter orders as pertains to project work.
Prepared to manage other Project Services staff members.
Consult with Engineering on special product information and labeling capabilities.
Checking shop drawings for accuracy, manufacturability, specification requirements and coordination of hardware, doors and frames for functionality and label capabilities.
Participate in in-house seminars, including after-hours functions.
Occasional travel required, as directed by management, structured according to company policies.
This position has the responsibility and authority to perform all job-related quality activities as defined in this job description and in the specific related procedures and work instructions. This position has the authority to stop action on work until concerns are resolved and to initiate and/or participate in identifying and implementing actions to correct existing and prevent future occurrences.
Train other estimator/order writing individuals.
Other duties as assigned.

QUALIFICATIONS:
BA degree in Business Management or related field of study preferred.
Five years project management experience required
Experience in the aluminum door openings industry and direct customer and contractor contact preferred.
Experience handling commercial contracts as opposed to residential
Ability to read, interpret and manage architectural plans, specifications and hardware schedules.
Ability to write hardware schedules from architectural plans and specifications.
Full understanding of building codes and labeling requirement are required.
Excellent computer skills, with knowledge of Microsoft, Comsense for Windows, and AutoCAD software helpful.
Excellent verbal and written communication skills and organizational skills.
Ability to work in a team environment.

Virtual Designer – Carrollton TX

Our client in Carrollton, TX Is looking for a Virtual Designer on a direct hire basis:

As a Senior Virtual Designer you will create drawings and building models (BIM) for various types of industrial processes and mechanical systems utilizing a computer-aided drafting system.  Types of designs include new and retro-fit construction within the alternative energy, chemical processing, food and beverage, industrial manufacturing, oil and gas, pharmaceutical, power, semiconductor and water/wastewater markets.

Responsibilities:
Perform routine tasks and complex assignments applying advanced knowledge of computer-aided drafting system standards, practices, and techniques.
Apply judgment and sound decision-making with respect to developing new drawings and models.
Work with 2-D drawings, 3-D models and conceptual layouts to produce clear, complete and accurate documents.
Determine basic engineering calculations related to routine drafting challenges such as stress, sizing, support and flexibility.
Collaborate closely with engineering department during model creation on design/build projects.
Perform quality assurance/quality control checks on models. Analyze design for conformity to standard industry and engineering department practices.
Attend design reviews and related project meetings, as required. Effectively communicate with internal and external customers during the drafting and construction process.
Update models to reflect as-built conditions. Manage project files and project documentation as required per company standards.
Develop increased proficiency in design system operation (with a resulting increase in productivity). Become adept at utilizing all software options.

Qualifications & Experience:
8+ years’ experience performing computer-aided drafting
Working knowledge of 3-D drafting software
3-5 years’ experience drawing mechanical systems in industrial construction is required!
Proficient in the preparation of piping and other mechanical systems drawing, requiring a high degree of expertise and judgment
Outstanding organizational and solid communication skills
Commitment to detail, deadlines and maintaining labor estimates
Must be a self-starter, with the ability to work well individually and as part of a team

Our West Houston, TX client, is in need of an Accounting Assistant for a contract to possible hire opportunity.

Summary:
The responsibilities of this position include the development and auditing of accounting reports; providing data entry for our divisional accounting processes; accounts payable, job costing and updating Excel-based cost breakdowns.  In addition, you will provide reliable, friendly, and knowledgeable support to existing and perspective customers as they call or visit our office location. 

Requirements:
High attention to detail and very accurate data entry
Previous experience working for a construction company is highly preferred
Intermediate Excel and Word skills or higher are required
Previous experience working with job costing, and job tracking
Strong multi-tasking ability
Excellent phone and personal communication skills
Prior experience in an accounting department is preferred
High school diploma or equivalent is required; college degree a plus
4+ years of closely related experience

Our Plano, TX client is seeking an Administrative Assistant to join their team on a contract to possible hire basis.

Responsibilities:
Answer incoming calls
Attend to and greet all visitors/guests
Responsible for sorting mail, packages and deliveries
Update and maintain the various spreadsheets
Assist with permit submittals
Following up with sub-contractors
Edit PDF documents
Other administrative tasks as assigned

Qualifications:
HS Diploma or GED Equivalent required
1-2 years administrative experience – preferrably in construction
Possess a high degree of proficiency with MS Office products – advanced in Excel
Extremely strong data entry skills
Experience working with PDF documents
Demonstrated ability to handle multiple tasks simultaneously
Exceptional organizational skills
Excellent written and verbal communication skills

Our Scottsdale, AZ client is in need of an Administrative Assistant for a Contract to hire opportunity.

Summary:
This position requires someone with Administrative Assistant experience in Real Estate development or the construction field. This position will start out at 30 to 35 hours per week, and will build to full time hours.

Duties:
Create and process expense reports in an Excel template
Send, receive, and distribute faxes.
Answer and screen phone calls, handling multiple lines.
Type correspondences using Microsoft Word
Set appointments and maintain calendar in Microsoft Outlook
Coordinate and schedule conference rooms
Gather time sheets from field personnel
Maintain office supplies for office
Light Accounts Payable filing

Requirements:
2+ years of administrative experience

Our NW Houston, TX client is in need of an Administrative Assistant for a contract to possible hire opportunity.

Great opportunity to join a small cohesive team. Client is seeking a very dependable administrative assistant that is looking for long term employment. This is a very small office, so it is key that the person selected be able to work closely with a small team on a daily basis.

Duties:
Heavy data entry into various software applications
Keying in AP, Payroll
Typing proposals
Filing
Answering phones

Required:
2+ years of experience in an administrative assistant or receptionist role. Construction office experience preferred.
Must have Advanced Microsoft Word skills and Intermediate Excel skills as proved by testing
Must be able to type 60+ words per minute as proved by testing
Exposure to entering invoice information for AP and/or AR would be helpful
HS diploma or equivalent
Must be comfortable working in a small office
Bilingual English/Spanish would be a plus, but is not required
