Frontline Source Group – temporary staffing and direct hire firm – is looking for an Executive Assistant for our North Houston, TX client, for a contract to possible hire opportunity.

Essential Duties & Responsibilities:
Relieves the Executive of administrative type functions in order to increase the time an executive has available for executive level responsibilities
Relies on experience and judgment to plan and accomplish goals
Schedules appointments and meetings, arranges travel and prepares itineraries
Provides prompt, efficient, courteous service to both internal and external customers
Maintains a high level of friendliness and professionalism
Performs work that requires a high level of confidentiality
Provides administrative support to two different executive as needed by preparing reports, preparing agendas, etc
Answers telephone for executives and screens calls.
Maintains files and records
Orders office supplies for administrative office
Manages calendars
Maintains file system
Complete paperwork for vendor approval

Experience / Qualifications:
4+ year’s administrative experience at the corporate level
Excellent written and verbal communication skills with strong interpersonal skills
Attention to detail/accuracy
Excellent organization skills
Ability to maintain confidentiality
Professional receptionist skills
Ability to work in a fast paced environment
Flexibility with ability to work in a team setting supporting several people
Intermediate computer skills in Microsoft Word, Excel and PowerPoint
High school diploma
Associate’s degree or administrative certification preferred

Executive Assistant – Arlington, TX

Position Responsibilities:
Performs advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices. This person will be in frequent contact with the all levels of executives, managers, and employees
Prepares, as well as initiates, routine or non-routine correspondence, memorandum, report summaries, etc. as needed with the utmost professionalism and accuracy to the organization, parent company, customers and external community
Schedules appointments, maintains calendars, plans meetings (onsite and offsite), makes travel arrangements, and coordinates related activities to ensure smooth and uninterrupted business
Provide administrative support to the executives in a variety of capacities including telephone coverage, copier projects, mail handling, supplies control, and invoice/expense reporting
Work independently and within a team on special and nonrecurring and ongoing projects.  Act as a project manager for special projects, at the request of the CEO, which may include: planning and coordinating multiple presentations, disseminating information, and organizing companywide events
Assists in business development projects including researching companies and potential opportunities
Serves as main point of contact for Vendors, office orders management, etc

Position Requirements:
Previous executive assistant experience supporting a C level executive or President
Ability to interface well with all departments within the company and to represent the respective executive officer in a highly professional manner
Demonstrate the ability to communicate effectively and professionally with customers and external contacts to the organization
Possess a high degree of proficiency with MS Office products including Word, Excel, Access, and Power Point
Must be polished and VERY professional
Must be able to maintain the highest level of confidentiality. Ability to handle sensitive material concerning the organization and the executive’s role within the organization
Needs to have 6 plus years of support experience at executive level
Demonstrated ability to handle multiple tasks simultaneously. Exceptional organizational skills required. Ability to meet designated deadlines is also a critical qualification

Legal Executive Assistant – Nashville, TN

General Summary:
The individual hired into this position is expected to provide executive assistant support as well as clerical and legal secretarial assistance to the attorneys in the office, including making travel arrangements, calendaring/ docketing important dates and events, tracking appointments, drafting legal correspondence, and maintaining filing for 3 attorneys.

Essential Job Functions:
Ability to juggle multiple attorneys and organize/ prioritize various tasks for attorneys and other staff
Ability to maintain and organize confidential firm and client information.
Coordinate attorneys’ calendars, scheduling appointments and meeting rooms.
Assist with making travel and accommodation arrangements.
Draft and/or types legal correspondence and reports using firm computer.
Open, sort and enter all mail into the Document Management System.
Operate office equipment such as photocopier, fax machine, and calculator.
Operate personal computer to use e-mail, electronic calendars, and other basic office support software.
Answer telephone, screens callers, relays messages, and greets visitors.
Maintain filing system in alphanumeric order and quickly locate material from files.
Regular and punctual work attendance.
Excellent organizational skills.
MUST have experience with electronic case filing experience – Federal/State Court
MUST have extensive legal experience – preferably with Defense

Scope of Responsibility:
The individual hired into this position should know the informal policies, procedures and practices necessary to conduct the normal function of a Legal/ Executive Assistant in a Law Firm. She/he should be aware of the role of the position and its potential impact on the office.

Decision Making:
In terms of decision-making, the individual hired into this position will be expected to carry out routine duties and responsibilities with supervision.  He or she should be able to make decisions and establish work priorities on essential procedure-oriented operations.

Communication:
The candidate should be able to exchange confidential information in an appropriate manner, with excellent oral and written communication skills.

Education:
Requires High School Diploma or GED

Experience:
Prior Law Firm experience is required.

Certification:
No certifications required.

Physical Requirements:
Sitting in a normal seated position for extended periods of time
Reaching by extending hand(s) or arm(s) in any direction
Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard

Position Highlights:
This position assumes primary support responsibilities for the Firm’s President and CEO and for the Firm’s Creative Principal and Chairman.
The Executive Assistant will assist in the accomplishments of the Executives’ daily work and general job responsibilities to achieve the established goals and objectives of the Firm.  The Executive Assistant will assist in achieving maximum efficiency of the Executives and ensure smooth operations.

Responsibilities:
Data processing including organizing, developing and preparing correspondence
Maintain chronological file keeping records of all correspondence
Organize, develop and prepare project documentation
Prepare spread sheets as required
Ensure Executives’ laptop, iPads, and iPhones are ready for travel
Provide detailed written instructions to Executives when new software or hardware equipment are installed
Coordinate with Director of IT to ensure connectivity and access
Answering and directing phones according to established procedures
Ensure messages are accurately conveyed in a timely manner
Communicate daily updates to Executives via email at the end of the day
Receive, prioritize and sort internal and external mail according to established procedures
Expedite mail as needed, coordinate package receipt, send express mail
Orchestrate standing meetings for President/CEO
Heavy calendar management, meeting planning, and calendar monitoring
Coordinate travel, prepare itinerary information, provide copies of all itineraries as required
Assist Executives with special projects as required (Awards Events, Client Events, etc.)
Represent Executives at meeting as required

Requirements:
HS Diploma required, Bachelor’s or Associate’s Degree strongly preferred
5+ years experience assisting C Level Executives
Strong Microsoft Office Suite skills (Word, Excel, Powerpoint, etc.)
Proficient with iPhone, iPad, Go To Meeting and current note taking apps
Communicates clearly and concisely
Quickly grasps new routines and explanations
Works harmoniously and effectively with other
Committed to organizational goals
Calm, competent, demonstrates self-discipline

Responsibilities:
Maintains a professional, highly polished image at the front desk
Attend to and greet all visitors/guests-issue guest’s pass/parking validations
Provides primary typing support for memos, correspondence, reports, and all other documents
Coordinates all mail service activities such as:  postage machine, courier and Federal Express mail services
Responsible for daily opening, date stamping and sorting of all mail, packages and deliveries
Update and maintain the various spreadsheets and contact Lists
Responsible for making monthly calendars and distributing them to the staff the last day of the month
Generate all Tenant communication (Ex:  Holiday/Office) closure email correspondence to Tenants
Issue both small and large purchase orders- mail purchase orders to the vendor
Collect all employee time sheets and prepare payroll processing document for Financial Manager
Maintain accounts receivable check receipt log-record all checks received and mail to lock box
Copy all new tower and retail tenant certificates of insurance and file within computerized database. As well as, the lease file.  Copy all service contract certificates of insurance to Tenant Service Coordinator to file in the service contract files.
Update pocket cards for all engineers and security personnel on an as needed basis

Qualifications:
College Degree
3-5 years experience as Executive Assistant
Ability to interface well with all departments within the company and to represent the respective executive officer in a highly professional manner
Possess a high degree of proficiency with MS Office products including Word, Excel, Access, and Power Point
Must be polished and VERY professional
Demonstrated ability to handle multiple tasks simultaneously
Exceptional organizational skills required
Ability to meet designated deadlines in high stress environment
Excellent written and verbal communication skills
Bi-lingual (English/German) huge plus

Executive Assistant – Dallas TX

Position Overview:
Executive Assistant will primarily provide administrative support to the CFO within the Dallas office of this global financial group. The executive assistant will perform advanced administrative/clerical duties as well as handle project assignments to support initiatives and strategic needs. This position requires a high level of confidentiality and discretion, the ability to manage relationships both internally across the firm and externally, excellent time and project management skills, as well as mastery logistics planning skills related to travel and calendaring.  Position will require overtime as needed.

Primary Duties and Responsibilities:
Administrative
Schedule meetings, organize and maintain calendars with the ability to understand and anticipate challenges facing leadership executives and be able to manage/reschedule priorities effectively and proactively. Prepare meeting logistics, coordinate preparation and distribution of materials, record minutes (if needed) and maintain/monitor follow up task list to ensure timely completion. Team with core leadership team (if applicable) to ensure completion of action items
Prepare and reconcile time and expense reports and perform audits as necessary. Manage complex time and expense weekly processing; ensure adherence to compliance guidelines
Coordinate all aspects of travel arrangements for both domestic and international business travel including but not limited to booking flights, hotel and local transportation, providing agendas and itineraries, and arranging passport/visa requirements if necessary
Maintain hardcopy as well as electronic filing systems for all standard and confidential files. Process records and prepare files for archiving as needed
Coordinate meetings and conferences and may attend department meetings and prepare minutes as directed
Use analytical ability to gather and summarize data, make decisions and solve problems
Handle sensitive/confidential information requiring a high level of discretion
Develop a good working relationship with all levels of staff
Cultivate relationships and maintain contact with external clients on behalf of internal clients
Search and collect information from various internal/external sources to provide preliminary research
Possible responsibilities include important personal tasks like scheduling health appointments as well as car maintenance

Minimum Qualifications & Requirements:
C-Level support within the financial, professional services, banking or commercial insurance industry required
Related experience of 6+ years, providing support at the Executive/Leadership level, preferably in a large corporate, professional services environment
Associate or Bachelor’s degree preferred
Advanced organization and time management skills are a must: detail-oriented with the ability to prioritize and multi-task with excellent follow through skills
Highly tuned client relations skills and a focus on results with the ability to be proactive and anticipate client needs/problems and act accordingly. Must possess the ability to exercise good judgment and decision making skills, the ability to take initiative (assertive and confident)
Professional presence with the ability to build credibility and optimize interactions by adapting own personal style to engage a wide range of personalities. Collaborate with other Associates and possibly senior firm leadership and clients, both internal and external
Extremely flexible: must be able to constantly prioritize/reassess multifunctional position and have the flexibility to work overtime as required

Responsibilities:
Maintain extensive calendars and contact data base; coordinate meetings with calendars of other internal and external executives and companies.
Schedule and manage the travel arrangements and complex expense reports; reconcile credit card statements. This will involve gaining an in-depth knowledge of the firm’s meeting, travel and expense policies and tools
Schedule meetings, conference calls and other events; coordinate/set-up logistics for the Executive.
Ensure Executives are prepared, organized and ready for all meetings and events (prep includes printing meeting materials, applicable biographies, maps, etc.).
Be aware of organizational objectives and internal relationships in order to prioritize projects and anticipate needs of the Executives.
Manage incoming calls and place outgoing calls as requested.
Manage incoming/outgoing mail daily; prepare letters for signature.
Maintaining/filing documents and help to maintain digital filing for the Executives
Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
Prioritize work by considering its risk, importance, urgency, and potential business, organizational, or client implications

Qualifications & Requirements:
Some college preferred but bachelor’s degree not required.
5+ years of Senior/C-Level Executive Assistant experience preferred.
High standards for quality work at a fast pace along with a high level of professionalism, confidentiality and integrity.
Able to handle stress and difficult situations with little or no direction. Must be able to anticipate next steps.
Capable of working in fast paced environment, requiring prioritization while being proactive and flexible.
High energy, positive, “can-do” attitude, flexible, team focused, detail-oriented with a high degree of initiative.
Strong verbal, written and presentation skills.
Excellent interpersonal skills.

Our Houston, TX client, located in The Heights area, is in need of an Executive Assistant for a contract to possible hire opportunity.

Summary:
Our client, a small boutique law firm, is in need of an Executive Assistant to support the owner. Although this is a law firm environment, it does not require previous experience working in the legal field. Key qualities are the ability to protect the time of the Managing Member, functioning as an assertive yet polite “active shield.” Candidates that are currently employed are encouraged to apply, and a Direct Hire opportunity can be considered in this situation.

Duties:
Calendar/Scheduling for Managing Member
Constantly remain aware of Managing Member’s calendar and actively manage the calendar, scheduling both tentative and confirmed phone calls, meetings and other appointments regularly throughout the day.
Function as “active gate keeper” to the Managing Member to shield Managing Member’s time.
Communicate with individuals (employees, vendors, clients, etc.) wishing to schedule time with Managing Member and actively manage the calendar providing space between appointments to work, prepare for calls and meetings, drive to and from out-of-office meetings, rest, eat, etc.
Email Management of Managing Member
Monitor emails received to all email accounts of Managing Member.  Where appropriate, respond to those seeking information, a conference call, a meeting, etc.  Bring urgent emails to the attention of the Managing Member verbally.
Regularly file emails within their appropriate folder.
Regularly delete Deleted Items folders.
Manage Contacts of Managing Member
Regularly and promptly update contacts and automatically add new clients and contacts who are sending emails.  Diligently review contacts for old contact information to be updated.  Keep contacts organized, updated and clean.  Liaise with IT services provider to trouble shoot IT issues as needed.
Filing/Recordkeeping (Client Files)
Maintain the Client electronic and paper files in an organized manner where all records are easily identified and retrieved when needed.
Ensure logical (alphabetical) maintenance of Client binders (Key Documents binders, Filings binder, Pleadings binders and reference binders) on bookshelves in Managing Member’s office and on other overflow bookshelves as needed.
Answer Office Phones and Direct Phone Line of Managing Member
Serve as primary person to answer incoming office calls and check messages left of main office line.
Time Entry
Ensure timely entry of Managing Member’s time in the Firm’s time tracking system and prepare draft descriptions throughout the day based on knowledge and awareness of Managing Member’s calendar, emails received and responded to (Sent Items), and phone calls received and responded to.
Constantly remind and assist Managing Member with keeping up with time entry by asking for information to “fill in the blanks” of time entries.

Requirements:
Proficiency in Excel, Word, Power Point, Outlook and QuickBooks.  4+ years of experience in an Executive Assistant role
Bachelor’s degree preferred
Professional correspondence experience and strong proofreading skills
Advanced experience with calendar management
Must be very organized
Able to multitask
Must have experience working in a fast paced and deadline driven environment
Great communication skills

Sales/Marketing Assistant – Spring Branch TX

Our Spring Branch, TX client is in need of a Marketing/Sales Assistant for a Direct Hire opportunity.

SUMMARY
Responsible for assisting CEO and COO with requested tasks. Develops, writes, and designs marketing proposals for potential and existing clients. Requires independent work ethic with quality and consistent task completion, high level of organization, creative marketing skills, and heavy travel with CEO and COO.

PRIMARY RESPONSIBILITIES
Create sales proposals, and prepare presentations
Develop sales materials
Assist Business Development with marketing letters and emails
Conduct business conversations with business owners, decision makers and executives
Understand sales proposal models in order to create proposals, presentations, and contracts.
Assist in the implementation of company marketing plans, as needed.
Manage multiple projects simultaneously
Travel with CEO and/or COO approximately 50% of the time (especially during training)
Attendance and participation in various networking events including dinners,  drinks, charity events, golf tournaments, account special events, employee engagement events, etc.

SECONDARY RESPONSIBILITIES:
Calendar management for executives
Travel arrangements
Create, review, and summarize reports

Requirements:
2-5 years of experience directly in Marketing or in Marketing or Sales Support
Must have experience making travel arrangements for leadership, including airfare, hotel, and rental car reservations
Social Media experience
Superior computer skills in both PC and Mac OS work environments, including: Microsoft Word, Excel, Outlook, Power Point, Keynote, Pages, and Adobe Creative Suite.
Ability to develop oral presentations, and create, compose, refine, and edit written materials.
Knowledge of advertising and sales promotion techniques. This is normally acquired through the completion of a Bachelor’s Degree or three to five years of sales/marketing experience.
Maintaining a professional appearance and providing a positive company image to the public.
Work requires moderate travel, either with CEO and/or COO, or independently. This requires the possession of a valid state driver’s license within 60 days of employment, and the ability to travel by air or other forms of transportation as needed.
Work requires willingness to work a flexible schedule, evenings, weekends, and overnight travel.
Bachelor’s degree in sales or marketing related field from an accredited institution preferred.  This requirement may be waived with previous experience.

Executive Assistant – Dallas TX

Our Downtown Dallas, TX client is seeking an Executive Assistant to join their team on a contract to possible hire basis.

Responsibilities:
Maintains a professional, highly polished image at the front desk
Attend to and greet all visitors/guests-issue guest’s pass/parking validations
Provides primary typing support for memos, correspondence, reports, and all other documents
Coordinates all mail service activities such as:  postage machine, courier and Federal Express mail services
Responsible for daily opening, date stamping and sorting of all mail, packages and deliveries
Update and maintain the various spreadsheets and contact Lists
Responsible for making monthly calendars and distributing them to the staff the last day of the month
Generate all Tenant communication (Ex:  Holiday/Office) closure email correspondence to Tenants
Issue both small and large purchase orders- mail purchase orders to the vendor
Collect all employee time sheets and prepare payroll processing document for Financial Manager
Maintain accounts receivable check receipt log-record all checks received and mail to lock box
Copy all new tower and retail tenant certificates of insurance and file within computerized database. As well as, the lease file.  Copy all service contract certificates of insurance to Tenant Service Coordinator to file in the service contract files.
Update pocket cards for all engineers and security personnel on an as needed basis

Qualifications:
College Degree
3-5 years experience as Executive Assistant
Ability to interface well with all departments within the company and to represent the respective executive officer in a highly professional manner
Possess a high degree of proficiency with MS Office products including Word, Excel, Access, and Power Point
Must be polished and VERY professional
Demonstrated ability to handle multiple tasks simultaneously
Exceptional organizational skills required
Ability to meet designated deadlines in high stress environment
Excellent written and verbal communication skills
Bi-lingual (English/German) huge plus
