Frontline Source Group – temporary staffing and direct hire firm – is looking for an HR – Administrative Assistant for our North West Houston, TX client, located in the Jersey Village area, for a Contract to possible Hire opportunity.

Job Summary:
Provides support to Director of HR (offsite) and HR staff in administrative tasks.
Greets and handles calls and visitors to Human Resources Department.
Maintains calendars for HR staff.
Schedules interviews for HR staff.
Conducts on-boarding procedures with new associates.
Will serve as a file clerk and as a back-up for the receptionist.
Assists with new hire and benefits orientations.
Coordinates travel arrangements for candidates or HR staff.
Assists HR department with coordinating HR activities and special events.
Performs general office duties to include:  preparing documents, making copies, scheduling meetings, maintaining files, etc.
Assists with reference checks as needed.
Order supplies for HR office and distributes departmental mail and messages
Will assist the payroll department as well with administrative tasks

Required:
Previous experience supporting an HR department
2+ years of administrative experience
Computer – proficiency in Microsoft Office Programs
Strong interpersonal and organizational skills
Ability to prioritize, handle multiple tasks, and meet multiple deadlines simultaneously
Communication – effective listening, speaking, and writing
Ability to handle confidential information
High School diploma or equivalent

Position Description:
This critical position will be responsible for greeting investors and guests, answering phones and routing calls to appropriate partners/employees, coordinating the distribution of information and mail within the office, and making meeting arrangements on the employee calendar. This position will report to the Administrative Supervisor and will join an administrative team dedicated to providing receptionist support to the firm. The ideal candidate will have a high degree of professionalism, confident attitude, demonstrated ability to manage multiple projects, and flexibility to adhere to the evolving needs of the organization.  This position is ideal for a resourceful person who thrives in a fast paced environment.

Responsibilities:
Greet investors and guests
Perform core administrative duties including answering phones, filing, calendar management, and expense reporting
Organize and manage preparation for investor meetings – including updating PowerPoint presentations and printing marketing documents
Keep office organized and running smoothly (ordering office supplies, responding to miscellaneous requests, etc.)
Manage relationships with vendors, building management, etc.

Purpose:
This position is responsible for a multitude of HR responsibilities including: Onboarding, benefits execution from a payroll perspective and employee administration as well as for the timely and accurate delivery of payroll. This position is responsible for human resources information including record keeping, reporting, and information management systems.

Essential Duties:
Payroll Administration:
First point of contact for employees
Responsible and main contact for the preparation and processing of company payroll through QuickBooks
Data entry for all time and attendance and personnel transactions such as new hire, termination, leave of absence, benefits deductions, insurance, garnishments, State and Federal taxes, including quarter and year-end reconciliations etc.
Track and assure the deductions of all garnishments and other legal and special payroll deductions. Fulfills wage garnishment requirements by completing forms; adjusting payroll records, documenting and transmitting withholdings; negotiating with collection agencies to convert garnishments to wage assignments
Determines payroll liabilities by entering federal and state income and social security tax information, 401k transfer and direct deposits, wage assignments and garnishments
Prepare and maintain related payroll records and reports.
Document workflow and work procedures

Compensation and Benefits Administration:
First point of contact for employees
Setting up employee records and personal files
Process employee enrollments and terminations as required: contract handling, job applications tax forms (i.e. W9, I9, 1099), drug testing, etc.
Prepare and maintain related compensation and benefits records and reports
Process vendor reports and invoices
Support and facilitate periodic and regular compensation and benefit plan evaluations and changes including plan analysis, contract review and employee communications
Administer Paid Time Off, Short Term Disability and leave of absence programs – Document workflow and work procedures

Human Resource Management Systems:
First point of contact for employees
Establish/maintain employee records; ensure that employee changes are entered correctly and made on a timely basis
Review changes for proper authorization and adherence to policies including compliance with federal/state/local regulations
Research and resolve problems, perform schedule activities, and liaison with service providers (insurance, WC, etc.)
Document workflow and work procedures and conduct appropriate audits to ensure data integrity
Prepare and maintain standard and ad hoc reports and queries

Administration:
Compose and distribute routine written correspondence from human resources. – Collect, sort and distribute incoming correspondence, including resumes.

GENERAL PURPOSE OF THE JOB
The Bilingual Human Resources Coordinator is responsible for oversight and completion of tasks related to Payroll and Human Resources. This position will also assist with other duties as instructed by management

ESSENTIAL DUTIES AND RESPONSIBLITIES

Payroll
Provide reports to department managers for corrections and process corrections in the time entry system

Communicate/Resolve paycheck questions/issues with centralized Payroll Department
Process payroll changes such as address changes, direct deposit, pay and job title changes, new hires and termination paperwork

Human Resources
Follow Company procedures for recruiting, hiring and terminations
Conduct recruitment for open positions in both operations and sales/administration
Process new hire paperwork and conduct employee New Hire Orientation
Maintain operational and private personnel employee files, I-9’s and other relevant documentation
Notify and hold benefit meetings. Verify benefit enrollment paperwork, forward a copy to the Corporate Benefits department and maintain a copy of the enrollment paperwork in the employee’s private file.
Assist employees in the on-line benefits enrollment process
Assist management with employee complaint resolution, performance reviews, warnings and other employee communications
Ensure posting of all required HR and Safety documents
Follows all reporting procedures for safety violations and injuries
Adheres to all company policies, procedures, rules and regulations in written or verbal form
Complies with company and government safety requirements (including the correct use of Personal Protective Equipment) and other regulations
Attends department meetings and attends other location meetings and safety meetings

EDUCATION AND/ OR EXPERIENCE
High school diploma or GED equivalent required
College degree preferred
1-3 years HR experience or equivalent combination of education and experience

Language Skills
Bilingual in Spanish is required
Ability to read and comprehend complex instructions, correspondence, and memos
Ability to author employee reviews and other complex correspondence
Ability to effectively present information in one-on-one and large group situations to customers, clients, and other employees of the organization

Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form

Position Requirements:

Duties:
Meet with Homeowners at their residence to establish specific fence needs
Establish rapport and credibility with Homeowners
Suggest possible fence solutions
Measure yard, locate property lines and compose proposal for the recommended product
Present proposal and give sales presentation to customer
Report appointment results back to Sales Coordinator
Follow up with unsold customers through email and phone calls
Execute signed contract and collect deposit to schedule work
Submit contract to sales coordinator and transfer job info to Work Order along with job details
Coordinate installation schedule with production department
Communicate with customers as to any scheduling delays or installation issues
Meet installation crews if necessary to assist with details or complexities of installation
Meet with customers at completion of installation and collect remaining balance

Qualifications:
Flexibility to meet with customers on weekends, particular during peak season

Skills & Experience:
Two to three years of experience within QA Editor Role
College degree strongly preferred
Must have worked previously in a QA environment with practical knowledge of human-computer interaction.
Effective written, verbal and interpersonal skills.  Ability to communicate with all levels of personnel and company management.
Ability to work independently; detail oriented, and well organized
A meticulous approach to their work and an eye for design
Team player with the ability to make independent decisions within the framework and guidelines of the organization
Demonstrate a “can do” attitude around multiple projects and simultaneous requests
Business and result oriented and a desire to work in a dynamic and adaptable environment
Committed to the importance of quality
Ability to understand technical content
Familiarity with tools for technical content development and delivery such as Microsoft Word (customized templates), Adobe Acrobat, Articulate Presenter and Storyline, Microsoft PowerPoint, WebEx, etc.

Customer Service Representative – Austin TX

Our Lakeway, TX client is looking for a Customer Service Representative for a temporary position. This position will be for 20 hours a week and offers a great team environment with a fun group of dynamic professionals! This is a well established company and has customers nationwide.

Responsibilities include:
Contacting customers from a list provided by the client and doing quality checks
determining the right course of action or escalation path for customer requests
Utilizing creative problem solving skills to resolve functional problems
Perform additional duties as assigned

Qualifications:
College degree or work equivalent
Dedicated and passionate about customer satisfaction and success
Strong customer management skills
Excellent organizational and time management skills
Strong team player that is willing to help other team members at all times

Accounts Receivable Specialist – Austin TX

Our North Austin client is looking for an Accounts Receivable Specialist for a contract to possible hire opportunity:

Tasks include, but are not limited to:
Invoicing customers as shipment paperwork comes in
Update customers and portals with invoices and information on payables, past shipments, and necessary paperwork
Collection of invoiced merchandise and management of past-due accounts
Responding to customer requests on paperwork and invoices
Filing paperwork related to invoices and other AR duties

Qualifications:
One to two years of A/R experience
Must be detail orientated
Must be assertive and willing to take on tasks unsupervised

Human Resource Generalist – Austin TX

Our North Austin client is looking for a Human Resource Generalist for a contract to possible hire opportunity:

Duties include but are not limited to:
Recording and scheduling company-wide training
Collecting paperwork, administrating, and answering questions about company benefits
Organizing items in regard to company insurance claims
Managing the new hire process, which includes collecting applications, following up on necessary action items, and updating the company database on employee information
Administrative work involving workers compensation claims
Organizing cards, letters, and events for birthdays and company events
Helping create company newsletter and distributing to all employees
Filing and maintaining company records and paperwork

Qualifications:
One to two years of HR experience
Must be organized and detail orientated
Ability to dive in and out of projects where necessary
