Frontline Source Group – temporary staffing and direct hire firm – is looking for an HR – Administrative Assistant for our North West Houston, TX client, located in the Jersey Village area, for a Contract to possible Hire opportunity.

Job Summary:
Provides support to Director of HR (offsite) and HR staff in administrative tasks.
Greets and handles calls and visitors to Human Resources Department.
Maintains calendars for HR staff.
Schedules interviews for HR staff.
Conducts on-boarding procedures with new associates.
Will serve as a file clerk and as a back-up for the receptionist.
Assists with new hire and benefits orientations.
Coordinates travel arrangements for candidates or HR staff.
Assists HR department with coordinating HR activities and special events.
Performs general office duties to include:  preparing documents, making copies, scheduling meetings, maintaining files, etc.
Assists with reference checks as needed.
Order supplies for HR office and distributes departmental mail and messages
Will assist the payroll department as well with administrative tasks

Required:
Previous experience supporting an HR department
2+ years of administrative experience
Computer – proficiency in Microsoft Office Programs
Strong interpersonal and organizational skills
Ability to prioritize, handle multiple tasks, and meet multiple deadlines simultaneously
Communication – effective listening, speaking, and writing
Ability to handle confidential information
High School diploma or equivalent

Payroll Specialist – Plano, TX

Summary of Position:
Responsible for timely and accurate regular payroll processing items, including on-cycle, off-cycle commission and bonus items.
Process special or exception items including reversals, voids, deductions and quarterly/year-end payroll items.
Analyze and process incoming paperwork or documentation such as status changes, garnishments or employee/field initiated requests.
Create ad-hoc reports and conduct required system audits using HRIS system (ABRA) information.
Research, validate and correct employee data in payroll system delivering a high level of quality customer service.
Compute pay according to company policy and in accordance with government regulations and tax codes.
Compilation and preparation of other payroll data, such as insurance, and credit union/EFT payments.
Interpret company policies and government regulations affecting payroll procedures.
Prepare/file government reports.
Review payroll to ensure accuracy.

Requirements:
Degree in Accounting/Finance, Human Resources, Business, or other related field preferred.
Minimum 3 years payroll experience required.
Certified Payroll Professional (CPP) preferred.
Sage ABRA experience preferred.
Ability to effectively communicate (written and verbal)
Thorough knowledge of payroll processes including data entry, pay calculations, tax and benefits, wage and hour laws, etc. required. Ability to calculate complex figures.
Intermediate MS Excel and MS Word skills

Create and send out current employee listing to H.R. and payroll team.
Processes employee verification as requested.
Prepares I&E report for project managers, including a no pay listing.
Files weekly and biweekly payroll reports.

Provides payroll information by answering questions and requests in a timely and efficient manner.
Maintains payroll operations by following policies and procedures; reporting any needed changes.

Payroll Tax Analyst – The Woodlands, TX

Frontline Source Group  – temporary staffing and direct hire firm – is looking for a Payroll Tax Analyst for our client in The Woodlands, TX on a Temporary to Possible Hire basis.

This is an opportunity to join an established company with a fun office culture, fast-paced environment, very low turnover, and excellent benefits.  The ideal candidate will have at least 4 years of payroll experience, extensive multi-state payroll, and have their CPP or FPC designation.  A team player with a strong customer service approach would be a great fit here.

Primary Responsibilities:
Assist with the setup and verification of new clients as they are added to the payroll and tax filing software.
Perform setup new tax codes as clients move into new jurisdictions.
Work with clients and states to ensure power of attorney forms are submitted and confirmed in tax filing software.
Setup ‘Agent’ roles for applicable states as required.
Regular monitoring of clients with ‘Applied For’ accounts.
Perform exports of SUI Rate request data for various states and import the response data to ensure accurate client SUI rates.
Cross training to assist with tax filing in all states.
Management of assigned tax notices.
Discuss with clients regarding adjustments/amended returns that might be requested or required
Assist with the reconciliation’s and creation/uploading of tax returns during the quarterly/year end process.

Requirements:
CPP required.  Would consider an FPC with proper experience
Must be very familiar with multi state and local payroll taxes
Knowledge of state online tax systems
Strong focus on customer satisfaction
Strong organizational and problem solving skills
Ability to multi task and meet deadlines
Proficient with Microsoft Office products (Excel, Word, etc.)
Minimum 3 years payroll tax related experience
MasterTax Software experience is a plus
Work well in a team environment and operate at a fast pace
Ability to work well autonomously

Purpose:
This position is responsible for a multitude of HR responsibilities including: Onboarding, benefits execution from a payroll perspective and employee administration as well as for the timely and accurate delivery of payroll. This position is responsible for human resources information including record keeping, reporting, and information management systems.

Essential Duties:
Payroll Administration:
First point of contact for employees
Responsible and main contact for the preparation and processing of company payroll through QuickBooks
Data entry for all time and attendance and personnel transactions such as new hire, termination, leave of absence, benefits deductions, insurance, garnishments, State and Federal taxes, including quarter and year-end reconciliations etc.
Track and assure the deductions of all garnishments and other legal and special payroll deductions. Fulfills wage garnishment requirements by completing forms; adjusting payroll records, documenting and transmitting withholdings; negotiating with collection agencies to convert garnishments to wage assignments
Determines payroll liabilities by entering federal and state income and social security tax information, 401k transfer and direct deposits, wage assignments and garnishments
Prepare and maintain related payroll records and reports.
Document workflow and work procedures

Compensation and Benefits Administration:
First point of contact for employees
Setting up employee records and personal files
Process employee enrollments and terminations as required: contract handling, job applications tax forms (i.e. W9, I9, 1099), drug testing, etc.
Prepare and maintain related compensation and benefits records and reports
Process vendor reports and invoices
Support and facilitate periodic and regular compensation and benefit plan evaluations and changes including plan analysis, contract review and employee communications
Administer Paid Time Off, Short Term Disability and leave of absence programs – Document workflow and work procedures

Human Resource Management Systems:
First point of contact for employees
Establish/maintain employee records; ensure that employee changes are entered correctly and made on a timely basis
Review changes for proper authorization and adherence to policies including compliance with federal/state/local regulations
Research and resolve problems, perform schedule activities, and liaison with service providers (insurance, WC, etc.)
Document workflow and work procedures and conduct appropriate audits to ensure data integrity
Prepare and maintain standard and ad hoc reports and queries

Administration:
Compose and distribute routine written correspondence from human resources. – Collect, sort and distribute incoming correspondence, including resumes.

Position Summary:
Process semi-monthly payroll and assist controller with month-end close, account analysis and reconciliation.

Responsibilities:
Perform data entry and reconcile timesheets.
Audit online time keeping system.
Process semi-monthly payroll.
Reconcile payroll reports.
Distribute pay stubs.
Process month-end close
Issue manual payroll checks for corrections.
Prepare monthly reports and any internal reporting/comparisons.
Assist with implementation of online time keeping system.
Responsible for entering manual changes needed into Payroll & Time systems.
Prepare and post payroll journal entries.
Perform year-end payroll process.
Assist with preparation and maintenance of payroll policies and procedures.
Stay current on recent Federal and State law changes.
Identify potential issues related to the Fair Labor Standards Act.
Act as liaison with payroll/time keeping company.
Maintain wire log.
Responsible for preparing and posting purchasing card expenses monthly.
Perform other general ledger specific projects as requested by Controller or CFO.
Complete billing data entry, as assigned.
Complete billing projects, as assigned, with an emphasis on excel spreadsheets.

Other Responsibilities:
Responsible for attending all mandatory in-services, continuing education and annual health requirements.
Comply with all OSHA and safety policies, practices, and procedures.  Report all unsafe practices or accidents to supervisor, Safety Supervisor and/or OSHA Coordinator.
Will be compliant with the relevant regulations concerning the privacy and security of consumer’s protected health information (PHI) as established by the Health Insurance Portability and Accountability Act of 1996 (HIPAA).
Participate in proactive team efforts to achieve departmental and company goals.
Perform other duties as assigned.
Provide leadership to others through example and sharing of knowledge/skill.
Follow all policies and procedures set by the Agency.

Essential skills and experience:
Associate’s degree (A.A., A.A.S.) or equivalent in accounting or business related field from two-year college or technical school.
General ledger, online time keeping preferred.
Minimum of 3 years experience in processing payroll for at least 400 employees required.
Must have advanced knowledge of Federal and State payroll laws.
Must be proficient in Microsoft Excel.
Must be detail-oriented, deadline-focused, have strong communication skills and a positive attitude.

Payroll and Benefits Administrator – Houston TX

Our North Houston, TX client, located in the Greenspoint area, is in need of a contract Payroll and Benefits Administrator.

Summary:
This position is listed as a contract position, but the client does have an opening that they will be interviewing to fill. This person will have an opportunity to interview for the position as well.

Duties:
Processing bi-weekly multi-state, multi-location hourly payrolls
On-line insurance/401 (k) employee enrollment, updates & terminations
Monthly insurance premium auditing & processing
Maintain/update employee personnel files and data bases
Assist in new hire processing
Prepare reports for Accounting and Human Resources as directed
Ensure payroll and employee information is accurately recorded
Maintain confidentiality of payroll and employee information
Other duties as assigned

Skills:
Strong organizational skills
Ability to multi-task
Intermediate skill level with Word & Excel
Minimum 3 yrs payroll processing experience with multi-state payrolls.
ADP experience is required
Experience with Workforce Now & HRB a definite plus
Responsible, dependable and a team player
Good verbal/written communication skills
Excellent inter-personal skills
Meet strict deadlines while maintaining high degree of accuracy
Attention to detail
Strong work ethic and ability to maintain confidentiality
Prior benefits administration a plus

Human Resources Associate – Fort Worth TX

Our client in Ft. Worth, TX  Is looking for an Human Resources Associate on a contract basis:

The Human Resources Associate will be responsible for coordinating all aspects of the Human Resources function.  This position will bring both strategic and tactical responsibilities to all HR functions of the organization including staff recruitment and retention, benefits administration, payroll, employee relations and orientation, performance evaluation, professional development and training, interpretation to staff of standard operating procedures and development and implementation of new policies as needed. This position promotes open communication and collaboration throughout the organization and contributes significantly to maintaining a working environment conducive to personal and professional growth.

Responsibilities
Manage the payroll process including: transmitting payroll; overseeing all functions related to the flexible benefit plan, Smart benefits program, and pension plan; collecting timesheets and maintaining Personal Time Off (PTO) spreadsheet and reviewing quarterly and yearly tax reports.
Develop, administer and enforce personnel policies and practices and proactively educate staff regarding these policies and practices.
Manage all recruitment efforts including: working with teams to develop job descriptions and announcements; placing job listings; working with recruiters as needed; reviewing resumes and setting up interviews; performing references checks and salary negotiations; managing all correspondence related to recruitment and hiring
Administer benefits program that entails researching comparable benefit offerings for staff; maintaining relationships with vendors; educating staff and fielding questions; processing enrollments, claims, and changes; analyzing/recommending new options that promote equity across the organization and reviewing/approving vendor invoices.
Manage personnel record-keeping and employment related matters in compliance with federal, state and local regulations
Act as a resource for supervisors and employees to resolve any issues/concerns.
Consult legal counsel on HR matters as appropriate.
Manage and maintain employee orientation and exit procedures
Perform other duties as assigned to fulfill the company’s needs.

Qualifications
Bachelor’s Degree in Human Resources or related field required with some accounting, also a Professional certification (PHR, SPHR, etc.) considered a plus.
At least 3 years experience in Human Resources related to the above tasks.
Excellent customer service skills and strong interpersonal skills with the ability to interact with staff at all levels.
Excellent verbal and written communication skills.
Highly motivated and ability to work independently or as part of a team.
Ability to handle appropriately confidential information
Excellent organizational and time management skills.
Ability to prioritize and multi-task.
Should be familiar with the local, state and federal laws that affect the human resource function.
Drive the enthusiasm toward achieving department and organizational goals.
Must be flexible and have a sense of humor.
Strong computer skills, including Microsoft Word, PowerPoint and Excel and working knowledge of database systems.
Quick Books payroll processing experience preferred but not required.

Payroll Help Desk – The Woodlands TX

Our client in The Woodlands, TX is seeking a Payroll Help Desk Analyst to join their team on a Direct Hire basis.

Primary Responsibilities:

General Ledger Coding
Payroll Configuration and Support
Onboarding and Applicant Tracking Setup and Support
Training Clients
Assisting with Data Conversions and Imports
Creating Report Writer Reports
Help Desk works directly with clients on implementing and troubleshooting functionality within our Payroll, Benefits, HR, Onboarding, Applicant Tracking and Employee Self Service systems.

Requirements:
3-5 years of full-cycle payroll experience
Proficiency in a Windows environment
Strong problem solving and Analytical skills
Practical mindset with the ability to prioritize tasks and provide effective solutions
Genuine desire and commitment to serving customers
Experience working in a Payroll, HR and/or Benefits role preferred

Sr. Payroll Tax Analyst – The Woodlands TX

Our client in The Woodlands, TX is seeking a Sr. Payroll Tax Analyst to join their team on a Direct Hire basis.

This is an opportunity to join an established company with a fun office culture, fast-paced environment, very low turnover, and excellent benefits.  The ideal candidate will have 7-10 years of payroll experience, extensive multi-state payroll, and have their CPP or FPC designation.  A team player with a strong customer service approach would be a great fit here.

Primary Responsibilities:
Assist with the setup and verification of new clients as they are added to the payroll and tax filing software.
Perform setup new tax codes as clients move into new jurisdictions.
Work with clients and states to ensure power of attorney forms are submitted and confirmed in tax filing software.
Setup ‘Agent’ roles for applicable states as required.
Regular monitoring of clients with ‘Applied For’ accounts.
Perform exports of SUI Rate request data for various states and import the response data to ensure accurate client SUI rates.
Cross training to assist with tax filing in all states.
Management of assigned tax notices.
Discuss with clients regarding adjustments/amended returns that might be requested or required
Assist with the reconciliation’s and creation/uploading of tax returns during the quarterly/year end process.

Requirements:
CPP required.  Would consider an FPC with proper experience
Must be very familiar with multi state and local payroll taxes
Knowledge of state online tax systems
Strong focus on customer satisfaction
Strong organizational and problem solving skills
Ability to multi task and meet deadlines
Proficient with Microsoft Office products (Excel, Word, etc.)
Minimum 3 years payroll tax related experience
MasterTax Software experience is a plus
Work well in a team environment and operate at a fast pace
Ability to work well autonomously
