Sales Administrative Assistant – DFW Airport, TX

Frontline Source Group – temporary staffing and direct hire firm – is looking for a Sales Administrative Assistant for our DFW Airport, TX client on a temporary/contract to possible hire basis.

Position Summary:
This is a critical role in support of the sales team and serving the customer.  The general functions include generating reports for customers, preparing presentations, verifying sales orders for accuracy, forwarding web and other leads to both inside and outside sales representatives and supporting the Inside Sales Director.  This position works closely with all sales representatives, credit and collections representatives and the product management group.

Job Responsibilities:
Provide administrative support which includes; screening calls, processing purchase orders, generating reports and presentations, preparing lease documents, scheduling and maintaining a calendar, meetings and travel itineraries
Perform routine clerical duties and provide general business support to the sales department and in support of business initiatives
Responsible for developing, processing and filing department records such as invoices, check requests, expense reports, lease contracts and UCC filings
Development and maintenance of reports that include metrics for the department, comparative to budget and goal and performance measures
Manage some custom reports for customer billing and generate special billing or invoicing based on customer requests
Respond to and resolve routine sales inquiries
Maintain confidential company information
Supervise the LiveChat console for external customers

Requirements:
Associate’s degree or equivalent work experience in an administrative or customer support role
3 or more years experience in an administrative role, preferably in support of a sales department or group
Proficiency in Crystal report writing , Word, Excel, PowerPoint and MS Outlook
Excellent organizational skills, time management and prioritizing
Demonstrated attention to detail and accuracy are critical
Proven communication skills in written and verbal formats
Ability to work at a consistent level with minimal supervision and direction
Ability to anticipate the needs of the sales department and the customer
Individual must be available for the 10:00 am to 7:00 pm shift, Monday through Friday

About this role:

This is an ideal role for someone with strong phone sales/appointment setting experience.  This role calls for you to make 100+ phone calls per day that follow a lead sheet.  Hours are from 8:00 – 5:30, Monday through Friday.  Representatives will be able to attend client visits with Account Executives based on the meetings that are scheduled throughout the call periods.

Obtain and document demographic and insurance information from callers for scheduling mental health appointments.
Maintains satisfactory performance rating in relation to data entry error rates.
Successfully achieves satisfactory performance ratings in relation to internal audits pertaining to quality assurance measures which are routinely conducted by the Call Center Operations Coordinator through report data, silent monitoring and other supervisory modalities.
Demonstrates detail-oriented and multi-tasking abilities as well as good problem solving skills.
Demonstrates team-player attitudes/behavior and works effectively in a team-based environment.
Demonstrates flexibility and adaptability in relation to Call Center operations.

Qualifications:
High School Diploma or GED.
Minimum 1-2 years Call Center representative experience.
Medical appointment scheduling experience preferred.
Basic understanding of issues related to mental illness and substance abuse.
Basic knowledge of community resources for mental health services.
Excellent phone etiquette skills.
Good communication and interpersonal skills.

Position Summary:
The Customer Service Representative receives and processes incoming sales and service requests, oral and written, to meet the needs of the external and internal customer.

Essential Job Functions:
Answers incoming requests for products and services to meet the needs of the customer in a prompt and courteous manner.
Processes customer purchase orders
Informs the customer of the order status and takes action to ensure orders are expedited to meet the customers’ needs.
Actively supports the company’s quality process to achieve total satisfaction of customer’s requirements, striving for error free work.
Works closely with the various business managers and regional sales managers to service new and existing accounts.
Prepares customer quotations.
Logs customer complaints, notifies management of any lost sales and initiates resolution of the problem to prevent recurrence.
Processes product returns.
Maintains complete and current catalogs and price lists for the purpose of providing customers with information and assistance
Provides copies of literature to customers as needed (i.e. Operation and Maintenance Manuals, spec sheets, etc.)
Assists in the training and development of any new CSR’s.
Processes credit memos
Sees that all filing is updated and easily attainable.
Provides proof of deliveries as needed.
Performs assigned duties and accepts responsibilities as requested by the Customer Service Supervisor/Manager and/or the General Manager designate as needed.

Requirements:
High school diploma or general education degree (GED); or
2+ years or more related experience and/or training; or
Equivalent combination of education and experience.
Bilingual (English & Spanish).
Ability to solve practical problems and deal with a variety of unknown variables working toward solving issues related to customer demands, complaints and general needs.
Ability to understand and calculate figures and total amounts for such issues as discounts, commissions pro-rata, percentages, and sales order dollars.
Product knowledge of industrial safety regulation or products would be beneficial to a candidate.
Product knowledge of industrial safety products a plus.
Technical background would be preferred (electrical, plumbing, HVAC, CAD, etc)
Knowledge of Microsoft Office Suite.
Ability to read, write and speak English Required. Spanish would be preferred.
Some experience with an ERP system, such as SAP

Responsible for freight claims, remake orders and back-charges. Maintain a data base of field service crews to assist distributors with fix and repair.
Maintain accurate distributor files (sales copies, special pricing information).
Maintain communications with sales people regarding distributor problems, pricing, discounts and other information pertinent to companies and distributors relationship.
Participate in estimating, shop seminars and sales functions including after hour functions.
Maintain professional level in all customer and sales personnel contacts.
This position has the authority to stop action on work until concerns are resolved and to initiate and/or participate in identifying and implementing actions to correct existing and prevent future occurrences.

Requirements:
Previous Customer Service experience is highly preferred
Will also consider administrative experience from construction or manufacturing

Customer Service Representative – Houston Texas

Frontline Source Group – temporary staffing and direct hire firm – is looking for a Customer Service Representative for our Houston, TX  client on a contract basis.

Job Summary:
The Customer Service Representative is responsible for the conversion of customer inquiries into appointments for the sales team (Sales Design Consultants). Also provides administrative and database support to the division. Position requires a high degree of phone usage (making inbound/outbound calls). Call Center experience is required for this position.

Sales Activities:
Make initial contact on all sales leads (received via phone, internet, referrals, etc.), goal to convert to first time appointments.
Respond to customer questions and promote / set up the appointment for the Sales Design Consultant.
Review / update all Design Consultants’ calendars and assign appropriate appointments with prospective customers.
Provide Sales Staff with necessary contact information for prospective customer
Follow up on all appointments and leads (typically phone calls that are reported to the Sales General Manager daily)
Review all current activity with management such as outstanding appointments and customer feedback and follow through with appropriate action.

Sales Administration / Support:
Maintain database integrity while entering all contact information into SalesLogix and reviewing SalesLogix lead database for duplication of leads.

Non-Essential Functions:
Coordinate special events such as Call-a-Ramas
Responsible for other duties as assigned.

Minimum Job Requirements:
Education: High School Diploma required

Experience:
Two to three years of related experience. Must have high volume OUTBOUND call center experience.

Specific Skills:
Excellent customer service, communication and telephone skills, and a strong attention to detail, good organization skills..

Specialized Knowledge, Licenses, etc:
Sales experience and knowledge of selling and closing techniques, database / contact management proficiency.

Work Hours:
Work hours are up to 50 hours per week and may include overtime if needed. Candidates must be able to work a flexible schedule, including a schedule until 9:00 pm and weekends. Normal weekend hours range from 10:00 to 6:00.

Internal: Sales Staff to schedule appointments and discuss sales opportunities; Management – updates on appointments scheduled and necessary reports.

External: Customers and potential Customers via phone, email, and in person to introduce the company and persuade to meet with a Design Consultant.

Success Factors:
Ability to multi-task and make quick decisions relative to interacting with customers and potential customers, setting appropriate appointments, etc. Telephone etiquette, articulate and professional demeanor is critical. Must be able to convert a difficult situation into a positive outcome. Assertive and patient.

Summary:
Contract opportunity for an Administrative Assistant with experience supporting a Business Development/Sales team. This position is scheduled to last approximately 30 to 45 days, and will be working 30 to 35 hours per week.

Requirements:
2+ years of experience working in an administrative capacity in a Business Development department.
High School diploma or greater
Advanced Word, Excel and PowerPoint skills (Office 2013). Preference for someone who is thoughtful and creative, with the ability and initiative to make solid suggestions regarding improved formatting and look of documents (e.g. putting visual polish on pitches and other client facing materials that are generated by BD but do not pass through marketing).
Strong attention to detail and sound judgment when editing. Preference for someone who will take the care to correct basic errors rather than typing verbatim and, where appropriate, make basic editorial suggestions to improve word flow without altering content/messaging.
Intermediate database experience, Tasks will include generating reports, pulling invoices, extracting survey data and formatting into Word/PDF, creating events on website and creating/linking documents to event website.
Polished presence, including strong written and verbal communication skills. Ideally this person will have basic email (and, on occasion, telephone) interaction with members to answer questions regarding invoices, registration status and hotel inquiries.
Positive, can-do attitude with an appreciation for the critical role strong administrative support plays in the overall success of a team.

Cutting edge technology company in the Memorial area is looking for a hunter-type sales individual to join their growing team. Creative, inspiring atmosphere!

Responsibilities:
Research to find outbound leads
Understand market needs and demands
Relay leads to sales team
Work hand in hand with sales team
Provide leads for sales team to follow up on

Requirements:
3+ years experience in sales environment
High school diploma required
Preference given to candidates with staffing industry sales experience
