Your role with the company:

Position Summary:
The Customer Service Representative receives and processes incoming sales and service requests, oral and written, to meet the needs of the external and internal customer.

Essential Job Functions:
Answers incoming requests for products and services to meet the needs of the customer in a prompt and courteous manner.
Processes customer purchase orders
Informs the customer of the order status and takes action to ensure orders are expedited to meet the customers’ needs.
Actively supports the company’s quality process to achieve total satisfaction of customer’s requirements, striving for error free work.
Works closely with the various business managers and regional sales managers to service new and existing accounts.
Prepares customer quotations.
Logs customer complaints, notifies management of any lost sales and initiates resolution of the problem to prevent recurrence.
Processes product returns.
Maintains complete and current catalogs and price lists for the purpose of providing customers with information and assistance
Provides copies of literature to customers as needed (i.e. Operation and Maintenance Manuals, spec sheets, etc.)
Assists in the training and development of any new CSR’s.
Processes credit memos
Sees that all filing is updated and easily attainable.
Provides proof of deliveries as needed.
Performs assigned duties and accepts responsibilities as requested by the Customer Service Supervisor/Manager and/or the General Manager designate as needed.

Requirements:
High school diploma or general education degree (GED); or
2+ years or more related experience and/or training; or
Equivalent combination of education and experience.
Bilingual (English & Spanish).
Ability to solve practical problems and deal with a variety of unknown variables working toward solving issues related to customer demands, complaints and general needs.
Ability to understand and calculate figures and total amounts for such issues as discounts, commissions pro-rata, percentages, and sales order dollars.
Product knowledge of industrial safety regulation or products would be beneficial to a candidate.
Product knowledge of industrial safety products a plus.
Technical background would be preferred (electrical, plumbing, HVAC, CAD, etc)
Knowledge of Microsoft Office Suite.
Ability to read, write and speak English Required. Spanish would be preferred.
Some experience with an ERP system, such as SAP

Create new invoices
Bank deposits
Tax Forms and Reports
Job Cost analysis
Data entry and creation of spreadsheets and reports
Daily tasks as assigned by VP

Requirements:
2 years of QuickBooks experience, proficient in MS Office Suite (Excel, Word, Outlook)
Bilingual in Spanish (Read, Write, and Speak)
Degree is preferred, but will consider someone with strong experience
Must be a dependable go-getter, very organized and willing to take on additional responsibilities

Requirements:

Equivalent combination of education and experience.
Bilingual (English & Spanish).
Ability to solve practical problems and deal with a variety of unknown variables working toward solving issues related to customer demands, complaints and general needs.
Ability to understand and calculate figures and total amounts for such issues as discounts, commissions pro-rata, percentages, and sales order dollars.
Product knowledge of industrial safety regulation or products would be beneficial to a candidate.
Product knowledge of industrial safety products a plus.
Technical background would be preferred (electrical, plumbing, HVAC, CAD, etc)
Knowledge of Microsoft Office Suite.
Ability to read, write and speak English Required. Spanish would be preferred.

Purpose of Position:

Enter daily numbers into master log
Aid the Accounting Department in resolving any disputed or unapproved charges
Provide accurate stock levels and lead times for customer inquiries.
Work with freight forwarder in getting dispatches out on time
Record keeping
Log, research and investigate customer complaints
Strive to improve departmental processes, profits and service to customers, while helping to reduce costs.
Fill in information on plant Sandboxes so Sales Managers can determine prices.
Maintain a clean and safe work environment
Communicate and coordinate with internal departments

Required:
High school diploma, general education degree or equivalent
2+ years of experience in a similar role
Must be Bilingual (English/Spanish)
Knowledge of relevant computer applications
Moderate experience with Navision

Payroll/Human Resource Administrator – Huntsville TX

Our Huntsville, TX client is in need of Payroll / HR Administrator for either a Contract to hire or a Direct Hire opportunity.

Qualified candidates must be process driven, self-motivated, able to develop and work as part of a team and possess strong organizational, attention to detail and communication skills. Fluency in Spanish is a MUST. Candidates must have at least one year experience running payroll and one year involvement in the HR/Safety areas. Candidates must have at least an intermediate skill level on Word, Excel and Outlook.

RESPONSIBILITIES:
Payroll – Prepares, inputs and maintains payroll, payroll reports, updates information on system
Human Resources – assist and respond to inquiries concerning benefits and process enrollment forms for eligible employees.
Review and process new hire packets; assist with new hire orientations, terminations or any employee information changes
Maintain current knowledge of company policies and procedures, employee handbook, benefit plans and legal requirements to insure reports are timely and company is in compliance with all regulations.
Safety – Maintain current knowledge of company safety plan and policies. May assist with preparation and presentation of safety orientation both new hire and review. May assist with ordering, inventory, tracking and reporting safety supplies or personal protective equipment. May assist, participate, facilitate safety teams and safety topics on a monthly basis. May have additional duties associated with safety.
Workers Comp – involvement with all aspects of workers comp such as report of injury, claim filing and status, follow up with all parties involved, prepare, maintain and submit monthly and annual reports.

SKILLS AND EXPERIENCE:
Fluency in Spanish is a MUST
Minimum two years related experience. Must have HANDS ON experience processing payroll and hands on experience with a safety program. At least 1  (one) year experience and knowledge of Human Resources in Texas.
Strong working knowledge of software applications (Excel, MS Word, etc.)  with the ability to plan and prioritize multiple tasks/projects. Strong working knowledge of all office machines.
Excellent interpersonal and communication skills (verbal and written), including editing and proofing skills
Willingness to work on a wide scope of tasks, from administrative to complex

Accounting Manager-Manufacturing – Fort Worth TX

Our Fort Worth, TX client is seeking a Manufacturing Accounting Manager.  This is a newly created position, and a great opportunity.

SUMMARY:
Provide operational accounting leadership and ensure appropriate controls over inventory
The Senior Accounting Manager will be responsible for inventory accounting and controls at all Reverse Logistics and Repair warehouse locations including: Texas, Puerto Rico and Costa Rica. The Sr. Accounting Manager performs the duties listed below personally or through delegation to team members. The group will work closely with the Inventory Control, Purchasing and Operations teams.

Responsibilities:
Establish and ensure appropriate controls over inventory
For company owned and consigned customer product:
Review on-going cycle counts and ensure cycle count results are properly recorded in the inventory sub-ledger.
Work with Sr. Manager of Inventory Control to coordinate periodic physical inventory procedures and reconcile book values to physical inventory results.
Implement systemic and/or process changes to ensure all inventory transactions are properly accounted for in the RLR business in order to eliminate “stranded parts” and “negative consumption” and minimize shrinkage and leakage of lost billing opportunities.
Develop, implement and direct processes to ensure compliance with Corporate Policies.
Assist in the documentation, evaluation and remediation of control infrastructure to ensure compliance with SOX and SOC-1 requirements.
Ensure inventory is appropriately accounted for in our ERP
Ensure proper inventory cutoff at period ends.
Make recommendations for optimizing the existing ERP (MAS500) for inventory accounting related transactions.
Lead and execute all month-end close activities for the inventory accounting group
Review all journal entries created by direct reports for completeness and accuracy
Lead the daily, weekly, and monthly reconciliation of inventory balances
Provide follow-up on vendor receipt or payment issues
Provide operational accounting support to the Reverse Logistics and Repair business
Perform periodic audits of accounting system, payroll system, time and attendance system, and internal reporting.
Review time and attendance system and labor reports for accuracy and adherence to company policies and procedures.
Prepare daily, weekly, period end operational performance reports with comments and recommendations for corrective actions (KPI’s)
Drive process improvement changes to insure the Company is meeting or exceeding the current and future business requirements.
Establish alliances with external partners and internal groups to provide excellent internal and external customer service.
Work on special projects relating to operations when requested.

Requirements:
Bachelor’s degree in Accounting/ Finance
CPA or MBA preferred
10 plus years of increasing responsibilities in a manufacturing environment with inventory management/cost accounting/process improvement roles.
Comprehensive knowledge of GAAP and experience with developing controls over inventory in a manufacturing environment.
Spanish language skills preferred

Bilingual Administrative Coordinator – Houston TX

Our client in Houston, TX is seeking a Bilingual Administrative Coordinator to join their team on a Temp to Possible Hire basis.

 

This is an established organization with great benefits that is looking for someone with the work ethic and mentality to completely manage a vital role in the organization.  The ideal candidate is bilingual in Spanish, has strong skills in MS Word and Excel, is extremely organized, and capable of wearing many hats.  

 

Primary Duties:
Assist with Intake process for new clients
Meet with new clients to discuss payment options
Call and Fax requests for medical records for existing clients.
Draft/Type/Translate/Mail correspondence to clients
Coordinate workshops
Email/Fax/Mail flyers for upcoming workshops to over 400 contacts
Organize registration
Follow-up with attendees for payment options
Organize materials for workshop
Coordinate summer camp(s)
Organize materials for camp
Order supplies for department
Call clients to cancel/re-schedule appointments.
Call clients to confirm evaluation appointments.
Create necessary client packets
Coordinate the assistance of families that require an interpreter upon request by Therapist.
Monthly notice of client’s semi-annual/annual evaluations
Book travel arrangements
Keep client’s phone list updated and provide to education staff
Cover for Front Desk as necessary
Other duties assigned.

 

Requirements and Qualifications:
2+ years experience in a similar, multi-faceted administrative role
Bilingual in Spanish is a requirement
Computer proficiency with strong skills in MS Word and Excel
Customer service approach to work and clients
Team oriented with strong written and oral communication skills
Self-starter; can initiate and perform tasks without continuous direction
Ability to develop and maintain rapport with clients
