Administrative Assistant
Well-established law firm in Austin, TX, has an immediate need for an Administrative Assistant on a contract to hire basis.
Company Profile:
Highly reputable, national law firm specializing in labor and employment law
Administrative Assistant Role:
Open & close the front desk and office each day
Welcomes all guests and coordinates their release to the appropriate attorney or staff member
Verifies, receives and records all deliveries to the office and coordinates pick-up of delivery of said items to proper recipient
Schedules and maintains calendar of conference room reservation(s) and coordinates any food items for delivery
Timely delivery of faxes; reviews faxes that were received during the evening each morning
Maintains office listing and birthday lists
Maintains neatness of lobby and reception area
Setup new employees
Maintains supplies used for the office and coordinates the ordering and restock areas daily
Stamps outgoing mail and prepares necessary overnight mail; certified mail, UPS and courier services and delivers to US Postal Mailbox and UPS box
Responsible for copying, scanning, document binding and faxing
Setup and clean up conference rooms including audiovisual needs
Maintains neatness and supply of coffee areas, kitchen and supply/copy rooms
Weekly walk through of space and report any items to the building that need to be fixed (i.e., carpet spots, lights out; bug issues, etc.)
Maintaining and stocking copiers; inputting support tickets for any issues
Bi-weekly cleaning out of refrigerator
Coordinates with secretaries any entries into software
Assist Office Administrator with marketing events and preparation of materials
Prepare and maintain litigation files
Backup legal secretarial support
Light Accounting Duties: processes payments to Lockbox, assists in coding expenses in Concur, print prebills and distribute to attorneys for review; after their review, scan and send back to accounting, Inputs checks and processes invoices
Other projects as assigned
Administrative Assistant Background Profile:
High school diploma or equivalent
2-5 years administrative experience in a professional office setting
60+ wpm typing speed
Well-organized with the ability to handle detailed work with accuracy
Strong verbal and written communication skills, as well as excellent proofreading skills
Ability to multi-task, respond in timely fashion to deadlines with a strong sense of urgency
Proficiency with Office 2013 suite, including Outlook, Word, Excel and PowerPoint
Strong interpersonal skills working as a team player who is professional in dealing with others
