Receptionist / Administrative Assistant
Growing client located in Dallas, TX has an immediate need for a Receptionist / Administrative Assistant on a contract to possible hire basis.

Receptionist / Administrative Assistant Role: 
The Receptionist / Administrative Assistant reports to the Executive Assistant and will be responsible for answering the phones as well as providing administrative support to the team. 
Answer phones and assist callers 
Maintain all office supplies, equipment supplies and kitchen supplies
Schedule all equipment maintenance and repairs      
Manage Off Site Storage (Iron Mountain) including maintain, records retention 
Manage incoming and outgoing mail and mailing supplies, distribute mail, Scan returned mail and send to Brokers, send/receive FedEx, update postage meter
Prepare expense reports for President
Create forms as needed for use by Share personnel
Maintain appointments using Outlook as well as schedule conference calls as needed
Organize travel arrangements for office personnel including airfare, transportation, dining, etc. 
Assist the Bond Trader by printing prospectuses, bind and ship proposals when complete, maintain green marketing folders and compile with additional items/announcements and send with letters as well as assist in maintaining program files
Responsible for coordinating and sending supplies for offsite meetings, mail invitations and announcements
Assist the brokerage team with mailings including stuffing and mailing letters/fliers as well as email postage costs to broker and comptroller
Assist Bond Trader with filing and outgoing mail daily as well as draft correspondence when needed
        
Receptionist / Administrative Assistant Background Profile:
High School Diploma or Equivalent
2 years recent experience as a receptionist or administrative assistant
Familiar with office machines – postage meter, copy machine, folder/stuffer machine a plus
Proficient in Outlook, Word and Excel
High attention to detail and pleasant personality
Hours 8: 30-5: 00 with an hour for lunch
