Our client in Irving, TX is looking for a Reception and Safety and Compliance Administrator on a contract to possible hire basis.  The selected candidate will have the following skill set:

Position Overview:
The primary responsibility of the Reception and Safety & Compliance Administrator  is to provide office support to the Fleet Manager and the Safety & Compliance Department.  That support includes but is not limited to filing, working with existing spreadsheets, data entry and general office and reception duties.

Work days/hours:
The person in this position will work approximately 40 hours per week.  The general work hours will be from 8:00AM until 5:00PM, 5 days per week, Monday through Friday.

Essential Functions:
Fleet, Safety & Compliance Various receptionist and front desk duties Various Paperwork & filing as needed.
Manage, track and maintain DOT Drug & Alcohol Files
Random D&A testing program tracking & management
Manage, track and maintain DOT Driver files and qualifications
General Injury, Accident and Incident Files
DOT Accidents
Includes (for each of the above):
Setting up files, cross checking for completion, chasing down missing docs o  Tracking expiration reminders.
Internal audit statistics & tracking
Manage, track & update fleet information and insurance information. Assist with licensing, permitting an registrations.
Process Certificates oflnsurance, bond request forms, and basic information for customer audit packages as needed.
Conform with and abide by all regulations, policies, work procedures and instructions. Conform to all safety rules and use all appropriate safety equipment.
Capable of learning, explaining and applying a variety of company concepts, practices, and procedures.
Works within the Department’s expense budget, within budgetary guidelines to contribute to cost­ effective operation of the Company.
Communicate with co-workers, management, clients, vendors and others in a courteous and professional manner.
Sort, Review, audit and archive paperwork sent in from field offices. Heavy emphasis on detail and identification of errors.
General office work: Faxing, copying, sorting and distribution of incoming mail, as well as preparation of outgoing and internal mail.
General reception duties including but not limited to:
Greeting and sign-in of visitors
Contacting team members regarding visitors and/or escorting visitors to the respective team member.
Act as the central contact and manager of the conference room schedules
Take orders and make arrangements for meeting or conference meals as neededs. Other general office duties as assigned.

MINIMUM SPECIFICATIONS
Education:

High School degree or equivalent

Employment Experience and Skills:
Two years experience in general office experience.
Solid working knowledge and experience with Microsoft Office Suite products including Word, Excel
Experience with Access, PowerPoint and Outlook a plus.
Skilled in operation of computers, and other standard office machines.
Excellent organization skills, attention to detail and accuracy, and the ability to meet deadlines. Professional appearance and demeanor
Bi-Lingual a plus
