Our Brentwood, TN client is looking to hire an Executive Administrative Assistant to support a fast-paced department consisting of one VP and 10 team members.
POSITION RESPONSIBILITIES:
The job duties will require advanced administrative support to members of an Executive Team. All work is of a confidential and complex nature, necessitating exposure to sensitive information and contacts requiring considerable discretion, judgment, tact and diplomacy.

Requires ability to exercise independent judgment.

Maintain and coordinate schedules, calendars, and meeting requests for 5 senior executives
-
Occasional backup for 2 additional execs during absence of another executive assistant

Responsible for maintaining sensitive files and records
-
Coordinates heavy travel schedules
-
Arrange meetings, conference calls, maintaining busy calendars for executives.

Create power point presentations
-
Maintain supply levels and orders supplies and materials within the department budget.

Compose correspondence, memos and letters.
-
Process expense reports, check requests and timekeeping (as needed).

Coordinate pre-consulting calls with hospitals and Project Management Office.

Coordinate logistics of regional conferences
-
Recording minutes of monthly meetings.

Performs other misc. office duties such as reviewing mail, answering emails and voice mails
KNOWLEDGE, SKILLS AND ABILITIES:

Highly prefer experience working with AI software ( American Institute of Architects) software

Ability to handle multiple, high-priority tasks efficiently and in a timely manner.

Strong organizational skills and ability to prioritize work load.

Able to readily adapt to work prioritization changes.

Ability to think and operate independently with minimal supervision.

Ability to handle moderately complex assignments with direction but minimal supervision.

Highly developed interpersonal, organization, written, verbal, presentation, coordination, and multi-tasking skills.

Ability to handle all situations with professionalism and a positive attitude and be able to effectively communicate with individuals at all levels of the organization.

Strong written and verbal communication skills and demonstrated ability to keep stakeholders informed about project status and prioritization changes.

Ability to operate computer to access email, electronic calendars, and other basic office software.

Proficient with the Microsoft Office suite of applications (e.g. Word, Excel, PowerPoint).

Willingness to become familiar with and use Lotus Notes, QIX, SalesForce and E4SE systems.
