Our Allen, TX client is seeking a temp to possible hire Vendor Service Representative.

Purpose of Position: Responsible for contacting rep to obtain current status of work order.

Job Description: Contacts rep by phone or email using daily call log report. Enters admin notes and client notes (when applicable) into system on each contact made from work orders. Notes entered in system are clear and concise from verbal or email communication.  Reviews all notes prior to submitting for spelling and typographical errors and grammar. Requires  knowledge of English composition and grammatical rules and company standard language. Understands company and departmental procedures to identify corrections. Assists answering incoming phone calls by greeting caller professionally and courteously and responds to callers request promptly and efficiently.

Duties and Responsibilities:

  • Check email received from reps, pulls work order file and delivers to photo doc staff.
  • Print call log report to determine which files are to be pulled.
  • Reviews work order, admin notes and client notes and vendor due dates.
  • Follow vendor date guideline to determine process needed.
  • Contact vendor and input communication or information into system admin notes.
  • Assist answering incoming phone calls and respond to request
  • Complete call log daily
  • Identify and research vendor issues and resolves promptly.
  • Determine if work order needs to re-assigned.
  • Understand vendor and company requirements.
  • Develop communication with photo doc staff and carry out communication to provide vendor results.
  • Develop communication with vendor and carry out communication to request vendor requirements.
  • Implement and adapt to new processes to align with departmental and company changes.
  • Participate in team meetings.
  • Provide support to staff with answers and solutions.
  • Train staff as needed.
  • Perform other related duties as assigned.

Qualifications: General office and computer literacy proficiency with MS Word, Excel and Outlook; knowledge of industry and company standards; knowledge of Vendor requirements; excellent written and communications skills; Excellent interpersonal skills and good customer service skills. Ability to work under deadline pressure and extra hours if needed.  Detail oriented with good organizational skills and ability to complete task on time. Great customer service skills a must. Ability to analyze and problem solve. Ability to work independently.
