Our Dallas, TX client is seeking a highly professional and intelligent Executive Assistant to join their small and growing company immediately.

Position Description:
Responsible for eloquently and professionally handling all incoming communications (calls, electronic communication, packages) and directing them to the appropriate Partner or executive.

Serve as “ambassador” to all visiting candidates and clients, being the key contact for all coordination for these meetings.

Provide support to the Managing Partner and team members surrounding correspondence, (extensive) travel arrangements, and (extensive) scheduling.

Assist in marketing programs, special projects, and seasonal events, as well as, assisting in internal and external meetings, helps coordinate on site and off site events, and provides support during these events (sometimes requiring travel).

Responsible for preparing and screening expense reports and timesheets; managing and tracking contracts, agreements and outgoing correspondence; producing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. 

Administer various behavioral assessments for our clients.

Prepare memorandums, organizational charts, and confidential record filings.

Handle building management, including tenant leases and maintenance.

Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

Handle marketing and communications including website, newsletter, branding.

May act as a personal assistant (coordinate dry cleaning, groceries, etc.).
Some travel is required and the ability to take competent notes of briskly paced discussions is a must.

Job Requirements:
Minimum of two years acting as an assistant to an executive with verifiable past employment.
No criminal record and reasonably good credit (both will be checked).
Able to work in a fast paced environment with minimal direct supervision (your boss is often on travel).
Social media experience is a plus.
The ideal candidate must be flexible, creative, multi-tasking, dependable, team oriented, and upbeat but professional.

The ideal candidate must have a working knowledge of internet search engines, be proficient in Microsoft Word, Excel, PowerPoint and Outlook, must have the ability to present information in a professional written and verbal manner, the ability to work with diverse styles and personalities, and work within a small team environment to deliver exceptional results.

 The ideal candidate will be reliable in maintaining strict confidentiality, both internally and externally. In other words, you must be flexible in what you do and get to do it working with some cool people.

If you enjoy being micro-managed, this is not a good fit for you. This role requires working independently much of the time.

Education:
An undergraduate degree in business, marketing or a related field is requested. Advanced degree would be desirable.
