Our North Dallas, TX client is looking for a dependable Receptionist / Administrative Assistant that is willing to work 3-4 works to help in their office. 

Administrative
Answer phone; act as a gate-keeper.
Sort, distribute daily mail.
Act as receptionist.
Maintain an organized and efficient filing system:
Schedule, coordinate meetings; set-up conference calls
Make travel arrangements, when needed.
Assist in general correspondence when needed.
Maintain “employee contact sheet.”
Assist with invoicing – photocopy receipts, prepare envelopes, keep records.  Provide quality control and handle scanning, emailing and mailing.  Assist with receipts.  Follow up as requested.
Assist with accounts payable – tabulate invoices for payment, maintain records.  Provide quality control and handle mailing.
Assist with 401(k) – record required data electronically.
Benefits enrollment – Assist with new employee, annual open enrollment, and any changes.
Receive benefits notices and handle as appropriate.
Report employee time-off monthly to CFO.
Assist with insurance;
Expense reports – Serve as the central point of contact;
Assist with copying, scanning, filing, data entry and other administrative duties.
Be responsible for any other duties and projects as assigned or required.
Office Management
Set up, organize, maintain filing system for employee files, regular and on-going correspondence, business operations documents and records and project records.
Manage the office filing system and document/recordkeeping system as well as library.  Maintain a most efficient and organized system.
Manage office supplies and janitorial supplies.  Ensure adequate inventory.
Manage special events e.g. Christmas cards, Christmas dinner.
Manage control system for: Contek vehicles, Office keys.
Keep the office organized, professional looking and clutter free.
Coordinate office cleaning.
Manage in-office storage space; and off-site storage.
Project Administrative Support – Billable Time
Working for and with Contek Project Engineers, Consultants or Project Managers, assist with project documents and reports; task may include proof reading, arranging for off-site printing, producing project binders, including cover sheets and tabs; producing CDs and DVDs; ensuring reports to clients are professional looking with proper formatting, Contek logo and so on; ensure shipping and appropriate recordkeeping.
Provide where required any other clerical assistance on projects, including setting up and maintaining the files on Contek’s network server.
Prepare and send client specific reports e.g. BP Monthly Hours Worked report.
Office Equipment
Toner/printer cartridges supplies – maintain an appropriate inventory of printer cartridges.
Coordinate any maintenance, repair, purchase of office equipment e.g. copiers, printers etc.
