Our Nashville, TN client is looking for a Regional Administrative Assistant for a temp-to-hire role.

SUMMARY:
Manages administrative and business office duties required to support Regional Vice President – Stores (RVP) and Regional Staff. Keeps official Retail Operations records and executes administrative policies determined by or in conjunction with RVP or other company officials by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Manages RVP’s schedule/calendar and independently schedules appointments and conference calls with proper balance for daily tasks. Coordinates attendee availability and prepares agendas for all trips and meetings. Agendas for meetings are required 2-4 weeks prior to meeting. Departure and Arrival times for any travel must be published 4 weeks in advance of travel or sooner if possible.
Screens incoming calls and correspondence and responds independently when possible. Greets scheduled visitors.
Reviews and routes incoming and outgoing mail. Locates and attaches appropriate files to correspondence to be answered by the RVP.
Coordinates memorandums, electronic mail, and administrative procedures and policies relating to supervisory workers and fellow Administrative Assistants in corporate and regional offices, and monitors compliance.
Coordinates programs, events, or conferences in conjunction with the Regional Operations Staff, issuing information or invitations, coordinating speakers, and controlling event budget. Attends and oversees events, as directed.
Prepares records in agreed upon manner, such as agenda, notices, minutes, and other supporting materials for corporate meetings. Attends and assists in facilitating meetings, as directed.
Acts as custodian of applicable corporate documents and records.
Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, presentations, and other complex documents, including e-mail and faxes.
Gathers information from multiple sources, compiles and creates operational, statistical and financial reports. Utilizes Hyperion and other databases and/or software systems to gather information.
Creates, coordinates and maintains various database, spreadsheet and document files. Organizes and maintains electronic and hard copy file systems for correspondence and other business records.
Provides information and assistance to other corporate departments, legal counsel, and outside entities, as needed.
Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and accompanies supervisor when requested.
Assists with budget preparation and compliance monitoring, including personal overtime, as directed.
Orders and maintains supplies within budgetary guidelines, and arranges for equipment maintenance.
Performs position functions with a high degree of ethics, confidentiality and in accordance with the culture. Supports the Advance Success Triangle (7-5-3) in all actions and duties. Ensures that Regional Office area is maintained in a professional, neat and quiet manner at all times.
Performs all other duties and special projects as assigned by the Region Vice President, Region Human Resources Manager and Regional Commercial Sales Manager.

QUALIFICATIONS:
3-5 years related experience
High school diploma or general education degree (GED); or three to five years related experience and/or training; or equivalent combination of education and experience.
College degree in Business Administration or related field is preferred.
High level of proficiency in Microsoft Office software products and document preparation.
Hyperion experience also preferred.

REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Must be able to deal with problems involving several variables as well as in standardized situations.
Strong organizational and prioritization skills, with ability to handle multiple projects simultaneously.
Ability to work with minimal supervision and meet agreed upon deadlines.
