Our Downtown Houston, TX client is seeking a Sr. Administrative Assistant to join their team on a Direct Hire basis. The ideal candidate will have experience supporting multiple executives, their calendars and travel arrangements, with a strong ability in organization and time management.

Primary Responsibilities:

Provides high level administrative support to an executive and 5 or more professionals within a medium to large size business group
Communicate effectively with internal employees and external clients to smoothly carry out accountabilities
Identify and develop business process improvement opportunities. Participates in planning and coordination through to implementation
Manages communications, correspondence, presentations, and reports for executives
Interfaces with clients executives (CEO, CFO, or senior managers of that client’s business) on behalf of executives in coordination of meetings, events, presentations, conferences, etc
Accountable for all department expenses and reallocations
Management of executives’ calendars, email, contacts, and correspondence
Manages and coordinates international and domestic travel arrangements. Manages complex international multi-leg travel, often requiring continuous changes, and rescheduling
Processes, verifies, and monitors expenses and develops and maintains an efficient filing system to ensure reports, correspondence and financial documentation are maintained and readily available. Establishes and maintains organized electronic filing systems to ensure that business and operational reports, forms, and other business documentation are readily available.
Performs back-up function for other administrative staff during vacation or other absences to ensure that administrative support is provided on an ongoing basis
Maintains confidential client information for the business, team, or leadership and ensures information is handled appropriately.
Works independently to accomplish a variety of tasks

Position Requirements:

Organize complex and high volume business information and develop it into cohesive, professional reports and presentations, with little guidance
Ability to work in a fluid environment with changing priorities and deadlines
Detail-oriented, extremely well- organized, and able to manage time well to accomplish a multitude of tasks, with conflicting priorities and timelines.
Very proficient at secretarial and administrative tasks
Expert level MS Outlook skills
Advanced level PC skills (MS Office: Excel, Word, PowerPoint, LiveLink, Access, Visio; Lotus; web browsers)
Good project management skills to coordinate and lead a variety of initiatives.
Exceptionally strong communication skills, both written and verbal
Ability to deal with clients in a professional and courteous manner, and to develop and leverage professional working relationships
Ability to work both independently, as well as to play a leadership role in building a cohesive team
Ability to deal with confidential materials in an appropriate manner
