Our Dallas, TX client is looking to hire an Executive Assistant to the CEO on a direct hire basis.

Scope/Responsibilities:
Performs advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices. This person will be in frequent contact with the all levels of executives, managers, employees and the parent company. Externally, this person will be in contact with the Board of Directors, customers, distributors and other people within the community.
Prepares, as well as initiates, routine or non-routine correspondence, memorandum, report summaries, etc. as needed with the utmost professionalism and accuracy to the organization, parent company, customers and external community.
Schedules appointments, maintains calendars, plans meetings (onsite and offsite), makes travel arrangements, and coordinates related activities to ensure smooth and uninterrupted business.
Provide administrative support to the executives in a variety of capacities including telephone coverage, copier projects, mail handling, supplies control, and invoice/expense reporting.
Participates in corporate staff meetings and prepares/distributes accurate and timely minutes of meetings.
May supervise an Administrative Assistant and utilizes the assistance of one or more lower level administrative support on a reporting or project basis.
Keeps informed of company policies and procedures; answers related internal and external questions within authority and policy.
Resolves, counsels or refers appropriately routine and complex complaints and/or issues received both internally and externally.
Manages executive area to ensure that all executives are supported and that the workflow is uninterrupted and completed accurately and timely.
Work independently and within a team on special and nonrecurring and ongoing projects. Act as a project manager for special projects, at the request of the CEO, which may include: planning and coordinating multiple presentations, disseminating information, and organizing company wide events.
Support and assist Board of Directors as needed while on site.
Chair Administrative Assistants’ monthly meeting – schedule meetings, plan programs, arrange for speakers in order to provide continuing development of support staff.
Perform other work-related duties as assigned.

Skills/Experience Requirements:
Previous executive assistant experience supporting a C level executive required.
Ability to interface well with all departments within the company and to represent the respective executive officer in a highly professional manner.
Demonstrate the ability to communicate effectively and professionally with customers and external contacts to the organization.
Possess a high degree of proficiency with MS Office products including Word, Excel, Access, and Power Point.
Must be polished and VERY professional
Must be able to maintain the highest level of confidentiality. Ability to handle sensitive material concerning the organization and the executive’s role within the organization.
Needs to have 10 plus years of support experience; at least the last three being at the Executive level.
Demonstrated ability to handle multiple tasks simultaneously. Exceptional organizational skills required. Ability to meet designated deadlines is also a critical qualification.

Education Requirements:
Associates degree in Business Administration or related field required. Bachelor Degree in Business or related field preferred.
