Our Richardson, Texas client is looking for an Administrative Assistant on a contract to possible hire basis with the following qualifications.

Objective:
To answer and direct incoming phone calls, coordinate general office activities, and assist in processing new hire paperwork. Maintain physical and electric files.

Primary Responsibilities (including, but not limited to):
Answer and screen incoming phone calls in a pleasant, courteous manner
Create and send prospect information
Coordinate staff interviewing schedule
Create new hire packets and employee handbooks
Verify complete staff information in file after hiring
Input staff information into system
Complete staff reference checks and criminal background checks
Input client leads into Contact Manager and mail the appropriate material to each
Ensure all information is properly filed, organized and easily accessible the client name and notify the scheduling team
Ensure all staff employment paperwork is completed properly and filed according to policy
Collect staff timesheets (via fax, mail, hand-delivery), put in alphabetical order by employee, and verify/reconcile against scheduling calendar in system
Keep track of late and/or missing timesheets, as well as timesheets that have been filled out incorrectly and report this information to the President
Review timesheets for indication of any significant change in client status as indicated in the staff notes section and properly document the information
Create, maintain and update all staff files in accordance with state regulations. Monitor licensure expiration dates and follow-up to ensure staff are in compliance

Qualifications:
3-5 years of medical front office experience required
Some HR experience including processing new hire paperwork, preferred
Proficiency in MS Word & Excel required
Ability to communicate pleasantly and effectively with callers and internal staff
Excellent ability to manage responsibilities with an “outside-the-box” mentality to continuously improve work flow of the office
Possess the ability to multi-task and handle pressure situations with ease
Excellent interpersonal skills
Excellent oral and written communication skills
Strong attention to detail and follow up
Must possess a positive, high-energy, “team player” attitude
