Our client in Frisco, TX is looking for a Front Office Assistant:

Experience in:  Microsoft Word, Excel, Outlook, Internet, Power Point, Scanning Documents, Burning CD’s.

We are looking for a professional individual who has 3 or more years working in a corporate environment as a corporate receptionist/executive assistant.  We are looking for someone that presents a polished and professional image.  This position is extremely important since this individual will greet visitors personally and telephonically and will be a representative of the Company; therefore appearance is of the utmost importance.  He/she should have a professional and cheerful speaking voice and should speak clearly and concisely.   This position will report to the Office Manager/Executive Assistant.

Responsibilities will include, but are not limited to the following:
Open the switchboard each morning at 8:30 AM.
Check the board for voice mail messages.
Turn on all copy machines and make sure they are loaded with paper.
Check the general fax and distribute incoming faxes and make sure the fax machine is loaded with paper at all times.  Check the general fax periodically throughout the day.
Answer all incoming calls and transfer accordingly.
Forward messages to appropriate individuals.
Stock the refrigerator each night and each afternoon as necessary.
Stock snacks each night and each afternoon as necessary.
Keep the supply room and kitchen area neat and tidy.
Take inventory on office supplies and kitchen supplies and order accordingly.
Keep lobby neat and orderly.
Make sure that investor packets are on hand at all times. (Work with CA receptionist to keep these packets replenished at the TX office)
Maintain postage meter.
Check mail daily and distribute accordingly.
Assist with annual conference planning for various conferences.
Keep and maintain a log of all office keys.
Provide support to admin staff and others, i.e. typing and stuffing envelopes, scanning in documents for eDiscovery requests, federal express etc.
Assist with creation of expense reports for Executives.
Work with Building Management to submit service requests and follow through to completion.
Assisting with meeting preparation, i.e. ordering/picking up food, and special requests for meetings by Executives.
Keep all meeting rooms clean.
Keep file room organized and clean.
Work with Executive Assistant with filing contracts and maintaining/organizing file room.
Submitting and reconciling invoices to accounting for the office supplies or special orders.
Research for special projects as needed by Licensing Executives.
Assist with making travel arrangements for Executives when needed.
Creating binders for all Executives as requested.
Print jobs.
Other duties as assigned by the Office Manager/Executive Assistant.
Maintain inventory and assist when needed with off-site storage.
