Our Richardson, TX client is seeking an Office Administrator who provides office support and clerical functions for the company. Responsibilities include organization of company records, establishing office processes and procedures and general clerical duties. This includes basic Microsoft Office word processing, spreadsheet and data entry. The office administrator also provides administrative assistance to the president and general office assistance to the sales and technical services engineers at the direction of the president.

The Office Administrator will collaborate with other operating and support roles to assure the profitable achievement of company goals. As such, the person in this position is expected to collaborate with all stakeholder groups, to practice on-going self-development initiatives, and to demonstrate and champion alignment with the Company’s purpose and values.

Responsibilities:
Organize, monitor and coordinate the company’s files and records to assure that information is available when needed. This includes, but is not limited to, filing and retrieval of electronic and hard copy documents, retrieving, preparing and sending information as requested; organizing and monitoring the filing system.
Establish, monitor and coordinate general office procedures to assure that office processes function effectively. This includes, but is not limited to, resolving administrative problems and inquiries; coordinating information flow to the professional services automation system; supplying information to company support providers.
Identify, monitor and execute the general clerical needs of the company to assure that operational requirements are met and office functions effectively and efficiently. This includes, but is not limited to, preparing written or verbal responses to routine inquiries; preparing and modifying correspondence, reports and email; scheduling meetings, appointments and travel.
Perform other office and clerical duties as requested by the supervisor to assist with the operational functions of the company. This includes, but is not limited to, word processing, spreadsheet and data entry; escorting visitors to and from the security entrance; answering incoming calls; directing client requests; managing office supplies.

Skills and Requirements:
Bachelor’s degree is highly preferred
2-5 years of experience
Some experience dealing with vendors/simple office contracts for services
QuickBooks to enter and pay bills (not bookkeeping)
MS Office Suite (Word, Excel, Outlook)
Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Excellent communication and writing skills.
Must have knowledge of office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through related administrative experience.
Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
