Our Houston, TX client is seeking a contract to hire Bilingual Administrative Assistant to assist the VP of International Sales & Service.

Responsibilities:

     

  • Duties and responsibilities include, but are not limited to, the following.  Other duties may be assigned as necessary.
  • Responsible for effective office organization to include incoming mail and faxes and its distribution, answer incoming phones lines and directing calls and/or taking messages
  • Establishes, develops, maintains and updates filing system for the Vice President and the department. Retrieves information from files when needed and maintains confidentiality of files.
  • Schedule and plan conference calls and meetings to include the preparation of agendas and meeting minutes.
  • Schedule transportation, both air and ground, and other normal business travel arrangements (flight, car rental, hotel, etc. per company policy).
  • Send out packages via DHL, Federal Express or U.S. Mail as required.
  • Review expense accounts and verify entries before final approval by the VP – International Sales and Service.
  • Assist in developing forms, preparing reports and correspondence on computer specific to the department.
  • Responsible for handling information requests, and performing clerical functions such as preparing correspondence and receiving visitors.
  • Assist in creating and developing presentations for the VP – International Sales & Service.
  • Assist the VP – International Sales & Service in the management of his schedule.
  • Handle special assignments specifically related to the required functions of the department, as directed by the VP – International Sales & Service, Manager Latin & South America, W. Hem. Billing and Quotes Manager, and/or other department heads when necessary.
  • Assist Regional or District Managers as needed.
  • Maintain vacation schedules for International Region and District Managers.
  • Operates fax machine to send and/or receive records and reports from vendors, suppliers or other departments.
  • Set priorities on all work assignments with time constraints.
  • Independent judgment is required to plan, prioritize, and organize diversified workload and in recommending changes in department practices or procedures.
  • Duplication and distribution of various reports to all departments that require the material. As the incumbent becomes more efficient and progresses in department knowledge, he/she will be required to perform additional duties and maintain the department’s working control copy of the ‘SOP’.
  • Assist in gathering information for the Trend Report, Material Parts Listing, shipping etc.
  • Prepare statistical data and verify accuracy of information while producing spreadsheets, letters, etc., for the district.
  • The preparation of the monthly discount report, and the preparation and sending of faxes as required as well as the maintenance and updating of the sales order value report.
  • Preparation of ISO-9001-2000 procedures for the Western Hemisphere at district level, by maintaining all records and books.

Requirements:

     

  • Two year associates degree with two years of related experience and/or training; or equivalent combination of education and experience.
  • Must be bilingual (both written and verbal)
  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
  • Must be able to interact and communicate with individuals at all levels of the organization.
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (Microsoft Word, Excel, Access, PowerPoint)
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
