Our Houston, TX client, located in the Galleria area, is in need of an Executive Assistant on a contract to hire basis.

Summary:
Provide a high level of professional and efficient support to our Senior VP of the Energy Technical business and team.  

Responsibilities Include:
Manage various team member’s schedules by gaining familiarity with meeting purposes and priority levels. Includes on-site, off-site, international, and networking/community meetings.  Make the “magic” happen discretely behind the scenes, such that it appears effortless. Thoroughly understand how to use the electronic equipment for video conferencing, prepare materials (copies, electronic presentations, etc), equipment (video, computer projector) and conference room for meetings.
Develop strong relationships with other key support colleagues globally to help streamline travel, meetings and communication. Navigate other internal matters on behalf of the team such that there is very little distraction from key priorities.
Make domestic/international travel arrangements, including flights, transportation, accommodations (temporary and long-term). Prepare daily/weekly travel agendas and manage details to ensure the leader is well prepared as necessary and all last minute changes are managed such that meetings and necessary materials flow effectively.
Utilize SAP and other internal systems to create purchase orders, process billings/invoices, and ensure timely payment of bills. Ensure orderly flow of documents needing approval and make proper alerts regarding any deadline issues that may arise. Prepare and process expense reports
Assist in the preparation of presentation materials.
Work with and maintain confidential information.

Requirements:
10+ years’ experience working in an administrative assistant/support role in a highly professional office environment; 5+ years directly supporting senior leaders/executives; at least 2 years’ experience at global company.
Expert in Microsoft Office (Word, PowerPoint, Excel, Visio)
Proven record of strong organizational, multi-tasking and project management skills.
Proven ability to effectively interact with all levels of colleagues within an organization.
SAP experience a plus.
Excellent verbal and written communication skills.  Multi-lingual is preferred
Proficiency in preparing high quality presentations and conducting basic analysis and research is preferred
Experience dealing with different cultures is preffered.
