Our Galleria area client is seeking a multi-talented professional to serve as an HR Generalist, Executive Assistant, and Office Manager!

Job summary:

To provide Office Management (15% of the time), Executive Assistant (30% of the time) and HR Generalist duties (55% of the time) to the Houston Corporate Office and the company by maintaining a professionally and smooth office operation, plus handling all administrative and executive management requests; administrating HR to maintain company engineers in the field and satisfy client needs in the most professional style with an emphasis on integrity, performance and commitment.

ESSENTIAL FUNCTIONS:

Ø Manage all office business functions to include phones, office systems, & computer support with technical help as necessary

Ø Set an example of professionalism and a strong culture of service to all engaged with the company

Ø Manage and maintain and organize both electronic and hard copy company files and other data systems with extreme accuracy in a timely fashion where time and organization is of the essence.

Ø Produce corporate reports on a regular and timely basis, take meeting notes and summarize with task list and develop employee contracts accurately and keep up to date.

Ø Conduct and administrate on-boarding, employee relations, and separations with a high degree of accuracy, professionalism and discretion either in-person or via best practice communication.

Ø Maintain corporate fringe benefits knowledge to include accurate reporting and administration of medical, dental vision and 401(k) plus other company benefits

Ø Manage Contract Database to keep contracts in order and any terminations, deadlines or other issues under review

Ø Provide document formatting for contracts, resumes and other company documents to the highest standards the company demands.

Ø Draft or initiate correspondence and memos along with other communication to employees and clients as required. Review and scrutinize correspondence and other communications for accuracy and proper format

Ø Establish and maintain an excellent relationship and positive attitude when interacting with office staff, engineers, clients and all visitors keeping a top quality service attitude to all interactions.

Ø Manage communication including mail, courier, overnight and US mail constantly accurately and quickly.

Ø Maintain kitchen, mail service areas, and other common areas, ordering supplies displaying a high degree of professionalism

Ø Deal with Building Management and serve as key communicator with Building Services

Ø Be on time, engaged and committed with the ability to work until the job is completed as the occasion demands (past 5:00PM on occasion as necessary).

Ø Be open and willing to learn the true business of the company and travel if required.

EXPERIENCE REQUIRED:

Ø Highly experienced in office management and executive assistant experience in a lead role with senior executives

Ø Familiar with office management, administrative requirements, and process details

Ø Knowledge of and clearly familiar with human resources operations and required details

Ø Experience in the recruiting cycle of; job definition, sourcing, interviewing, selecting, referring, placement of candidate and on boarding new employee.

Ø Strong knowledge of communication systems, including mail, fax, courier and express mail.

Ø In depth experience with office computer Microsoft Suite, Adobe, Access and other software as required

Ø Proven ability to create and maintain standard corporate and working reports on a weekly and monthly basis

Ø Proof of multi tasking and highly organized business functions to maintain smooth, efficient and added value to operations

Ø Familiarity with the operations of a small to medium private company

Ø Comfortable and able to develop excellent professional interpersonal relationships with individuals and teams

EDUCATION, CERTIFICATIONS, LICENSES, REGISTRATIONS:

Ø BA / BS Degree in HR or related field  — or equivalent professional and career experience

Ø PHR Certified — or an interest in obtaining such certification

QUALIFICATIONS:

Ø Well established extremely organized and excellent administrative skills with fast and accurate attention to detail

Ø Highly developed organizational skills handling multiple tasks in a fast paced environment

Ø Strong computer skills with all of MS Office Suite plus; Access, Adobe and other software as required

Ø Innate ability to understand and display service attitude and work effectively with and exhibit a high degree of flexibility and adaptability to all levels of employees and managers in the company.

Ø Working well independently as an individual contributor or with others in a collegial team environment.

Ø Previous experience with all general HR functions with a strength in employment.

Ø Meeting deadlines and completing assigned work on time is critical to success.

Ø A self-starter and completer, able to find ways to add value efficiency and effectiveness whenever possible.

Ø The courage to ask questions when in doubt. The ability to admit mistakes and find solutions

Ø The willingness to do whatever it takes to get the job done.

COMPUTER SKILLS AND TECHNOLOGY REQUIREMENTS:

Ø Experience with the full MS Suite, including Outlook, Word, PowerPoint, Excel and Access

Ø Knowledge of  “File Finder” a real plus

Ø Ability and desire to resolve software and hardware problems or to take the lead in resolution

WORK ENVIRONMENT AND CONDITIONS:

Ø Corporate Office

Ø Able to occasionally lift up to 50 pounds.

Ø Able to work in excess of 8 hours in a day or 40 hours in any given week when required on occasion.
