Summary:

Perform duties of administrative assistant for Human Resources department and administrator for the HRIS.  Establishes and maintains confidential personnel records reflecting changes in employee status.  Maintains files in a timely manner with all required legal and personnel data. Manages mailings, data entry, coordinates communications with all levels, schedules appointments, gives information to callers, and relieves department of administrative detail. Performs other projects as assigned.

Responsibilities:

  • Administers HR information systems (ADP Perspective) and proactively manages the data, enters and retrieves data and generates accurate reports from HRIS.  Ensures data in HRIS is valid.  Builds or creates reports as needed. (30% of time)
  • Answers telephone and gives information to callers or routes call to appropriate co worker in department, and places outgoing calls. (10% of time)
  • Files correspondence and maintains personnel records in accordance with legal or corporate requirements. (15% of time)
  • Acts as back up for HR Coordinator on recruiting, on-boarding. Assist department as needed to achieve department goals and deadlines.  (15% of time)
  • Coordinates circulars, proofs, edits and distributes, when appropriate, company communications. (5% of time)
  • Assists Safety and QESH with requested information and reporting. (5% of time)
  • Greet visitors, ascertains nature of business, and directs visitors to appropriate person in department.  (5% of time)
  • Makes copies of correspondence or other printed material. (5% of time)
  • Completes employment verifications, unemployment claims as required. (5% of time)
  • Sends out PR reminds and assigned weekly, monthly, quarterly and annual reports.
  • Arranges travel schedule, reservations and meetings for HR staff; Schedules appointments for Human Resources staff.
  • Orders, maintains inventory office supplies in accordance with LEAN.
  • Supports, cooperates with, and participates in company-wide LEAN and EHS Management System which includes following all safety, health and environmental policies and procedures.
  • Supports and cooperates in company- wide Quality Management effort.
  • Performs other duties assigned.

Qualifications:

  • High School diploma or equivalent required.  Associates or Bachelor’s degree preferred.
  • Three years experience in administration, preferably within human resources.
  • In-depth knowledge of database administration required, HR Perspective/ PCPW experience preferred.
  • Ability to handle confidential material/ matters with integrity.
  • Excellent planning, communication, editing and organizational skills are required.
  • Ability to work cooperatively and communicated with co workers at all levels; customer service centric.
