Our Galleria area Houston, TX client is seeking an Office Manager for their small firm. The office administrator provides support and clerical functions for the entire office. Duties include organization of company records, light accounting, establishing office processes, and general administrative duties. The ideal candidate will possess self-management capabilities, planning skills, and problem solving expertise.

Essential Job Functions:
Monitor accounts receivable and payable
Enter invoices
Organize, monitor and coordinate company files and records to assure that information is available when needed.
Resolve administrative problems and inquiries and coordinate information flow to the professional automation system.
Prepare and modify correspondence, reports and emails involving routine inquiries.
Word processing
Spreadsheet and data entry
Answer and screen all telephone calls in a professional manner. Take clear and concise messages and/or field and answer all routine and non-routine questions.
Meet and greet guests.
Maintain executive’s calendar via Outlook, which includes coordinating, planning and scheduling meetings and appointments.
Coordinate travel arrangements as necessary.
Prepare and track expense reports using QuickBooks.
Compose and type standard correspondence and draft reports.
Handle and maintain sensitive and confidential information.
Work on special projects
Handle inventory and assure there is a sufficient supply maintained in the office.
Fax, photocopy and scan as requested.

Skills and Requirements:
Bachelor’s degree is highly preferred
2-5 years of experience.
QuickBooks Pro and MS Office experience is required
Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Excellent communication and writing skills.
Must have knowledge of office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through related administrative experience.
Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
